Job Description:

The OPS Events Specialist supports the successful execution of events hosted by the UF Lastinger Center for Learning by assisting with onsite coordination, vendor communications, and event logistics. This part-time OPS position is essential to delivering high-quality, well- organized events that serve both internal teams and external partners. The ideal candidate is professional, detail-oriented, and adaptable, with excellent customer service skills and a flexible schedule to accommodate a variety of event types and timelines.
 
Onsite Event Support
  • Provide onsite assistance for events, including registration check-in, room setup, signage, attendee support, day-of vendor support, and post-event breakdown.
  • Ensure all physical spaces are event-ready, welcoming, and compliant with accessibility and safety standards.
  • Act as a point of contact for day-of coordination, assisting with last-minute needs and troubleshooting.
 
External Vendor Coordination
  • Assist in coordinating logistics with external vendors, including caterers, venues, A/V technicians, and other contracted services.
  • Confirm event timelines and details with vendors ahead of time and support vendor needs during setup and breakdown.
  • Ensure all vendors follow UF and venue guidelines during event execution.
 
Event Logistics & Preparation
  • Support pre-event preparation by assembling materials, name badges, signage, promotional items, and supplies.
  • Help transport and organize materials and equipment to and from event locations.
  • Assist with event tracking documentation, including packing lists and inventory logs.
Communication & Reporting
  • Maintain clear communication with the Events Team regarding event status, needs, and follow-up items.
  • Document key observations or feedback to support post-event debriefs and future planning.
Other Duties as Assigned
  • Provide general administrative and logistical support to the Events Team as needed, which may include assisting with data entry, supply runs,
Expected Salary:

$14 per hour, or commensurate with experience. 

Required Qualifications:
  • High school diploma or equivalent required; some college coursework preferred.
  • Previous experience in events, hospitality, or administrative support strongly preferred.
  • Ability to lift up to 30 lbs and remain on your feet for extended periods during event days.
  • Willingness to work a flexible schedule, including early mornings, evenings, and occasional
    weekends
Preferred:
  • Strong interpersonal and verbal communication skills.
  • Professional demeanor and excellent customer service abilities.
  • Ability to multitask and remain calm under pressure.
  • Experience working with external vendors.
  • Familiarity with Microsoft Office and/or Google Workspace.
