- Provides teaching support to faculty who participate in DVM curriculum. Coordinates the teaching evaluation process by working with peer evaluation committee to be evaluated and works with course coordinators to publish student evaluations (GatorEvals) in conjunction with course end dates. Ensures appropriate instructors are entered into enrollment management systems (SIS) in MyUFL and GatorEvals. Provides the Office of Academic and Student Affairs with any data related to the overall program and final evaluations. Gathers coverage schedules from each service and course syllabi and prepares report of instructor-student contact hours to enter into Academic Activity Report in MyUFL. Tracks all peer reviews of faculty. Maintains spreadsheet associated with peer reviews to track completion status for each faculty member.
- Assists with the annual faculty evaluation process and serves as a joint liaison with the CVM Personnel office for related activity within the department; stays abreast of changing policies and procedures, notifies them of their time frame for submitting Faculty Excellence and Advancement database information, answers questions related to the annual evaluation process and advises as appropriate. Reviews completed Faculty Excellence and Advancement data sections submitted by faculty for accuracy and adds teaching eval data. Maintains master file of all faculty activities throughout the year and prepares evaluation folder for chair. Assists chair with draft letter of evaluation, reviews for accuracy and ensures all pertinent information is included in the letters. Coordinates the scheduling of each evaluation meeting between the chair, the faculty member, and their mentors. Ensures all completed evaluation letters are signed, submitted to CVM Personnel office and maintains files related to the process.
- Assists with the Tenure and Promotion and Sustained Performance process and serves as a joint liaison with CVM Personnel office for related activity within the department; Stays abreast of policies and procedures, disseminates updated information, attends annual workshops, advises faculty of deadlines, prepares correspondence, requests reviewers, internal and external, of packets, tracks receipt of letters, extracts and imports various data into packets, and prepares documents in final form. Schedules appropriate meetings for departmental review, voting, tabulates ballots and reports appropriately. Coordinates review of packets with CVM Personnel office and ensures all deadlines are met for on time submission of final packets.
- Departmental office duties: answers phones, reserves state vehicle and maintains maintenance issues/records, meeting and room scheduling, faxing of documents, mail distribution and preparation, assist lab personnel with shipping of samples, assists with departmental events, and assists with transportation needs of faculty and staff when necessary. Transports state vehicles to repair shop when necessary.
- Cross-trained to assist with HR related responsibilities including organizing locums, academic visitors, and volunteers (setting up UFID #s, badge and parking requests, risk assessments, etc.); providing hiring assistance to the faculty (assisting in writing position descriptions and posting requests, reviewing applications, providing interview help); organizes and acts as liaison for faculty and staff onboarding, setting up faculty offices, assist with hiring process of OPS and student assistants and international visitors including assisting with visa applications and preparing for their arrival. Escort seminar speakers, visiting instructors, and faculty candidates.

Outstanding computer knowledge and skills with demonstrated skill using Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, Outlook), Adobe Acrobat, and WordPress; 11. Exceptional organizational and time management skills, high levels of attention to detail, reliability, and professionalism; 12. Experience with Website design and maintenance (using WordPress), and drafting online news posts; 13. Experience in an Academic or University setting, including Tenure and Promotion, Sustained Performance, and Faculty Evaluation processes.
