Job Description:

The University of Florida's Office of Admissions is seeking an Assistant Director to manage the freshman holistic review process and finalization of matriculated undergraduates. In this customer service-oriented role, you will regularly interact with Admissions leadership, all offices within the Division of Enrollment Management, prospective students, parents, counselors, academic units, and other campus partners.

Key responsibilities include, but are not limited to:

Freshman Application Review Managment

  • Lead the holistic review process for domestic and international freshman applications.

  • Develop, update, and implement review guidelines.

  • Oversee freshman term/program changes and manage appeals for denied applicants.

  • Advise students and staff on next steps for conditions, appeals, and hold resolutions.

  • Serve as a point of contact for complex or escalated issues involving applicants, staff, and families.

  • Educate stakeholders on FERPA guidelines and enforce records release procedures. 

Finalization & Records Management

  • Oversee the receipt and verification of official test scores and high school transcripts.

  • Develop finalization timelines and assess discrepancies between self-reported and official records.

  • Ensure accurate updates to application and student information systems (Slate and Campus Solutions).

  • Track conditional admits through registration holds and finalization, providing guidance and support until resolved.

Training & Supervision

  • Train Admissions staff (group and one-on-one) on application evaluation best practices.

  • Audit application reviews to ensure quality and consistency; provide coaching as needed.

  • Hire, train, and supervise 30–50 part-time (OPS) staff to support application review, aiming for a dedicated, returning team.

Additional Duties

  • Participate in strategic planning, goal setting, and resource allocation with senior leadership.

  • Support university recruitment efforts through general admissions counseling and outreach.

  • Promote a high standard of customer service and ensure accurate, timely information is shared by front-line staff.

  • Perform other duties as assigned by area leadership.

This position is located at the University of Florida's main campus in Gainesville, FL and may be eligible for a flexible, hybrid work arrangement in accordance with the University of Florida and Division of Enrollment Management's policies.

Expected Salary:

$65,000 annually

Required Qualifications:

Master’s degree in an appropriate area and two years of relevant experience; or a bachelor’s degree in an appropriate area and four years of relevant experience.

Preferred:
  • Demonstrated experience in managing and leading admissions processes.
  • Proficiency in using application and student information systems like Slate and Campus Solutions.
  • Strong understanding of FERPA guidelines and best practices for record management.
  • Strong leadership skills with experience in supervising and training staff, including part-time employees.
  • Excellent communication skills, both written and verbal, with the ability to engage effectively with applicants, staff, and families.
  • Ability to manage complex or escalated issues involving various stakeholders.
  • Highly organized with strong project management skills.
  • Experience in developing and delivering training programs for staff both in group settings and one-on-one.
