Job Description:

Affiliate Membership

Execute an annual plan for the Affiliate Membership program including strategies for solicitation, engagement and stewardship. Manage and execute direct marketing campaigns aimed at acquiring new Affiliate members and upgrading and/or pledging current members. Manage and coordinate engagement strategies for Affiliate members. Oversee the stewardship strategy and implementation, including perks, for Affiliate members. Coordination of gift/income processing, ensuring all monetary handling protocols are followed and reconciling deposits.

Sponsorships

Identify new performance and event sponsors; strengthen connections for the benefit of patrons of UF Performing Arts. Execute sponsor agreements including invoicing, ticket handling, intermission and guest passes, and any other components of the sponsor program. Manage accounts by leveraging customer relationship management software, processing necessary forms and running relevant and accurate reports. Serve as liaison between UF Performing Arts staff and sponsors before and during events and programs.

Event and Project Management

Coordinate the planning of donor events including intermission receptions, meet and greets, Director’s Dinner, Season Preview, Gala and other opportunities for engagement. Reconcile and process expenditures including purchase orders, Pcard purchases, and invoices. In collaboration with the Assistant Director of Development and the Director, support UF Performing Arts presentations, scheduling, catering, and other event related items. Manage invitation lists and RSVPs for President’s Box and other central development functions. Generate weekly gift report for Assistant Director and facilitate donor thank you process. Work with Box Office and Marketing departments to keep accurate records of annual donors and gifts through multiple databases. 

Leadership Council Operations

Manage scheduling and logistics for all Leadership Council meetings, including sending save-the-dates, invitations, and tracking RSVP’s. Collaborate with the Assistant Director to prepare meeting agendas and distribute materials to internal and external stakeholders. Oversee say-of-meeting operations and send timely follow-up communications to attendees. 

Performs related duties as required or deemed appropriate to the accomplishment of the responsibilities and functions related to this position. 

Expected Salary:

$46,000-$48,000.00 commensurate with experience

Exceptional written and verbal communication skills, strong interpersonal abilities, and the capacity to engage effectively and collaboratively with a wide range of individuals are essential.

Proficient in the following areas: Windows operating systems, Microsoft word, Excel, and Access, as well as internet browsers and email platforms. Familiarity with donor databases, contact management systems, and tracking systems is also highly preferred.

The ability and willingness to travel. A valid driver’s license and good driving record are essential. *

Business expenses are reimbursed through a standard accounting system. The ability to pay expenses using your own personal credit card or funds and have them reimbursed is essential.
