Job Description:

The Department of Psychiatry is seeking a Residency & Fellowship Coordinator I to support the administration and daily operations of our residency and fellowship programs. This role will provide critical assistance to program leadership, ensuring compliance with ACGME and ABPN requirements, managing resident records, and overseeing recruitment efforts. Key responsibilities include coordinating resident onboarding and offboarding, maintaining ERAS and Thalamus application programs, scheduling exams, and organizing orientation sessions.

Responsibilities include:

Program Director Support

  • Assist the Program Director, Associate, and Assistant Program Directors with administrative needs.
  • Develop and maintain competency-based goals and objectives for resident rotations.
  • Troubleshoot issues and implement corrective actions as needed.
  • Collaborate on operational policies, procedures, and standards, ensuring effective communication of updates.

Residency/Fellowship Administration

  • Provide administrative supervision and support for resident trainees.
  • Coordinate training requirements and external rotations with affiliated hospitals and divisions.
  • Maintain resident records, update schedules, and track duty hours.
  • Assist with resident recruitment, onboarding, and offboarding processes.
  • Support residency exams, graduation planning, and resident travel needs.
  • Oversee Program Letters of Agreement, resident verifications, and compliance reporting.

Program Compliance

  • Ensure adherence to accreditation standards from the Office of Graduate Medical Education (GME), ACGME, and ABPN.
  • Maintain records within New Innovations and EPIC on-call systems.
  • Assist in managing ERAS and Thalamus applications for recruitment.
  • Prepare Program Letters of Agreement and rotation contracts.

 

Expected Salary:

$50,000 - $60,000; commensurate with education and experience.

Minimum Qualifications:

Bachelor's degree and two years of relevant experience; or an equivalent combination of education and relevant experience.
