The Department of Medicine, Division of Nephrology is seeking a full time Project Manager I which will support scientists and staff in collaboration with project stakeholders within the assigned business unit to define project scope, goals and deliverables working toward business needs. This role entails comprehensive research administration for faculty/principal investigators, ensuring effective coordination of services, policies, processes, and compliance. Responsibilities include Proactively manage and communicate ongoing changes in project scope, identify potential cries and devise contingency plans, and maintaining regular stakeholder communication. The position requires a high degree of autonomy, and problem-solving skills. This demands strong business and management skills, effective communication, and a comprehensive understanding of research administration, setting/achieving deadlines, and project compliance.
Essential Functions;
- Translate Business objectives into projects with clearly defined scope, timing, deliverables, resources, and key measure of success. Create project plans including timelines and milestones. Assist with progress reports, proposals and requirements documentation and presentations. Works with the Clinical Coordinator to draft and maintain all DUAs, BAAs, RFPs, and IRB submissions. Responsible for the implementation of guidelines, policies, and procedures in all the above areas in addition of the development and maintenance of SOPs for the project and project deliverables.
- Implement internal controls and working with Team Leads as needed to ensure that best practices are being followed. Works with external stakeholders on assigned business matters and responsible for the coordination of special studies or projects. Manages and organize an annual conference which includes recruiting speakers, assisting with topic selection, reviewing and finalizing presentations, hosting, and overall successful execution of the conference. Responsible for attending all relevant monthly and weekly meetings with external stakeholders and bi-weekly internal meetings. For all meetings, works with the administrative lead to create agendas and take minutes, in addition to updating and reviewing action items, pending approvals, and upcoming deliverables.
- Maintains lab calendar and schedules meetings for faculty and collaborators. Requests and provides availability (via email or Doodle poll) to coordinate meetings with others (students, faculty, outside research collaborators), schedules group meetings in conference or class rooms, schedules Zoom or phone meetings, ensures Zoom meetings are working correctly and troubleshoots meeting issues.
- Responsible for processing and tracking new staff recruitment and hires, as well as monitoring and organizing employee onboarding, which includes orientation, training, and provision of logistical support. Responsible for working with the department HR staff on recruitment and onboarding processes for new hires on the Texas project. Works with the manager and other team leads on staffing needs, creation of position descriptions, and provision of onboarding resources as needed.
- Creates PowerPoint and Google Slides presentations, submitting manuscripts, and creating scientific posters on behalf of the faculty, staff, post-docs, and students, while adhering to the Lab “brand.”
- Places IT and facilities tickets and works with facilities and IT on ensuring work orders are completed timely.
- Uploads coursework and files to Canvas and sends announcements to students through Canvas.
- Edits lab website as needed and posts messages through social media, such as Linked In and Twitter, under the direction of the PI.

Preferred Qualifications: |
Knowledge of appropriate state of Florida/College of Medicine/University of Florida/Health Science Center rules and regulations. • Experience working as a Project Manager to a senior management level position, preferably in an academic office. Knowledge in cell biology and immunohistochemistry with exposure to medical AI, biomedical microscopy imaging, and molecular omics • Knowledge of Microsoft Office, Google suite of products, Dropbox, and PeopleSoft software helpful. • Excellent customer service and communication skills. • Self-motivated. • Effectively communicate with a diverse group of people. • Managing multiple priorities. • Ability to exercise and maintain confidential or sensitive information. • Ability to plan, prioritize, and organize multiple tasks. • Excellent computer skills, and experience with Microsoft Office. • General working knowledge of People Soft • Ability to perform mathematical calculations
