Job Description:

Manages the day-to-day operations of the fiscal office. Ensures that all federal, state, and local laws are followed. Approves requisitions for goods & services through MyUFL Marketplace. Reconciles and approves Pcard transactions. Approves all department travel authorizations and expense reimbursements. Assists faculty and staff in understanding policies & procedures and making the necessary recommendations to update these policies, expediting purchases, obtaining bids, and reviewing contracts. Works with vendors to ensure prompt and accurate payments are met.   

Audits monthly reports including encumbrance, departmental transaction details, purchasing card aging reports, foreign gifts/contracts, and FCPA ledgers. Works with division and department leadership to ensure all accounts are accurate and in line with annual budgets.

Processes and tracks deposits to FCPA accounts, as well as PeopleSoft deposits for expense reimbursements and payment for external sales and services. Reviews/edits principle investigators and fiscal contacts as needed. Sends out invoices to fiscal contacts and processes payments through general ledger (journal entry) or accounts receivable (ACH or check deposit). Reconcile monthly PeopleSoft reports to database reports and follows up regularly with all delinquent accounts.

Assists grants management team with issues involving grant expenditures. Audits all 211 fund transactions on quarterly basis.  Monitors foundation expenditures to ensure compliance with university and foundation policies.  

Manages cell/internet monthly (auto) payments to faculty and staff.  Ensure payments are correct and terminated employees auto-payments are stopped.

Special projects as needed.

Expected Salary:

$60,000-$65,700 annually. Commensurate with education and experience.

Minimum Requirements:

A bachelor’s degree in an appropriate area of specialization and one year of appropriate experience or an equivalent combination of education and experience.

Preferred Qualifications:

Knowledge of business and accounting procedures, University, State and Federal rules and regulations.

Experience with PeopleSoft, specifically Accounts Payable/Receivable, Enterprise Reporting. Strong working knowledge of Microsoft Office, specifically Excel.

Strong problem-solving skills.
