Job Description:

The Department of Emergency Medicine at the University of Florida is seeking a highly organized and professional Administrative Support Assistant II to provide essential administrative support to the department’s Vice Chairs. This position serves as the receptionist for the administrative office and the first point of contact for faculty, staff, students, and visitors. The ideal candidate will possess strong communication skills, attention to detail, and the ability to manage multiple responsibilities in a fast-paced environment.

Key Responsibilities:

Administrative Support

  • Serve as the receptionist for the department’s administrative office, managing phone calls, messages, and visitor assistance.
  • Maintain office supply inventory and coordinate monthly orders.
  • Process and manage death certificates, subpoenas, and department mail distribution.
  • Oversee department food orders, including approval coordination and order placement.

Department Operations

  • Plan and coordinate departmental office moves.
  • Manage equipment, furniture, and facility requests, including surplus coordination.
  • Maintain departmental vehicle oversight and emergency contact documentation.
  • Oversee administrative operations, including space allocation, asset management, parking decals, conference room scheduling, and copier maintenance.
  • Assist with additional projects and responsibilities as assigned.

Faculty Leadership Support

  • Serve as the primary liaison for the Vice Chairs, managing calendars and scheduling meetings.
  • Coordinate travel arrangements, send department correspondence, and prepare meeting minutes.
  • Provide troubleshooting and rapid adjustments as needed.

Expected Salary:

The hourly rate range for this position is $20.11 – $21.55, commensurate with education, experience, and qualifications.

Minimum Requirements:

High school diploma or equivalent and four years of relevant experience.

Preferred Qualifications:
  • Strong verbal and written communication skills.
  • Exceptional organizational skills with keen attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Working knowledge of PeopleSoft and other administrative systems.
  • Must thrive in a fast-paced environment, effectively manage multiple assignments simultaneously, and adapt to direction from various individuals with efficiency and professionalism.
  • Self-motivated with the ability to work independently and collaboratively.
