Job Description:

50% A. PERSONNEL

1. Recruiting: Develops, prepares, and posts all TEAMS job requisitions, places job advertisements for all open TEAMS positions into Page up, adds search committee as needed to allow access to applicants Follows up in Page up with applicant tracking Closes out Position once hire is in place Responds to and provides information for all job inquiries. Assist with Faculty postings as needed.

2. Hiring: Processes all detailed appointment forms and paperwork for new employees and verifies job and education references, utilizes background check in myufl for all new hires

3. Other: Initiates and processes all ePAFs for hires, terminations, job changes, salary increases, etc.

4. Initiates all hire paperwork for graduate assistants, OPS, and OPS faculty, and maintains semester Letter of Appointment for graduate assistants.

5. Tracks all GA tuition waivers and updates in system every semester

6. Assists with our center’s Immigration Program Hires: Coordinates and initiates all international paperwork for DS2019 visa requests and employment, Consult with UF International Office and UF Tax Office on new hires as needed. Input data and documentation into International (EVS) system. Complete DSO training and maintain DSO certification for Immigration Compliance at center level. Advise faculty / Staff, Center Leadership, Students any changes in policies or procedures related to immigration matters. Resolves routine issues regarding immigration documentation Coordinates all requests for visa status changes (H1-B or Permanent Residency status), Assists with H1B petitions as needed (consult with IFAS immigration compliance) Collaborate with F1 advisors and IFAS Immigration as needed for GA’s entering on F1 visas. Updates and monitors monthly visa status report for pending expirations.

7. Prepares position descriptions and processes updates/changes as necessary.

8. Maintain current record information for all Center personnel in myufl and in Person HUB;

9. Assists employees and students with benefits and resolves issues, including offerings for position and accessing People First for State benefits options . Directs to Benefits Office and website for more complex benefits issues (eg death in family)

10. Assists supervisor with employee relations issues

11. Create and consistently improve upon an online boarding process for new employees

12. Make Person Hub changes, if necessary, to the extent the unit can access making changes in person hub

13.Assist and guide employees with FMLA and other Program guidelines 14. Maintain RISC compliance and requests clearance for research related hires (both local and International hires)

30% B. PAYROLL/LEAVE RECORDS

1. Input on-line initial payroll distributions in DBT module and and coordinate with Faculty and Research Administrators changes in DBT and the shadow system (FAB).

2. Monitors and assists with timely reporting and approval of the on-line payroll system. Approve Time when Faculty or time approvers do not to ensure timely payment for all employees.

3. Processes all bonus pay and special pay increases.

4. Checks time entry and /or biweekly pay list for reporting accuracy of time worked and leave reported and verifies with leave request forms or email approvals and calendar

5. Monitors those who requested leave have accurately inputting leave into their timesheet entry.

6. Backup to entering Bi-weekly, updates appropriations and cash-based payroll to unit shadow system.

7. Processes all terminating annual and sick leave payments via ePAF.

8. Processes all vacation cashout requests for terminated employees

9. Resolve routine payroll issues

20% C. OTHER CENTER DUTIES

1. Coordinates safety training seminars with UF Environmental Health and Safety Administration

2. Works with Center leadership on developing and implementing center policies

3. Interprets UF policies to faculty and staff and reminds staff and students of policies as needed

4. Identity management coordinator with IFAS Computer Network and Center IT as well as UFIT as needed.

5. Maintain on-line directory for Ft. Lauderdale Research and Education Center

6. Assist with Center functions such as registration, serve lunch and distribute information for groups

7. Creates systems and procedures to improve and maintain flow of communication with faculty and HR at the center

Expected Salary:

$53,000 based on experience and qualifications

Minimum Requirements:

Bachelor's degree in an appropriate area; or an equivalent combination of education and experience.

Preferred Qualifications:

Working knowledge of PeopleSoft

- Understanding of PC computer programs for use with on-line payroll, distributions, employee hire systems, electronic mail, etc.

- Ability to perform, organize and conduct work independently.

- Knowledge of mathematics, payroll procedures and record keeping techniques associated with payroll, leave benefits and payroll distributions.

- Ability to handle telephone calls, answer personnel inquiries, respond to complaints and problems in a courteous and efficient manner.

- Ability to establish and maintain effective working relationships with all personnel.
