Job Description:

The Assistant Director of Graduate Medical Education plays a critical role in supporting the educational mission of the GME office by leading initiatives in program accreditation, curriculum development, professional development, and strategic communications. Additionally, this position assists in oversight of accreditation citations and programmatic responses to ensure compliance and continuous improvement across GME programs.

The Assistant Director will assist in the management of accreditation processes, including Annual Program Evaluations (APE), Accreditation Data System (ADS) reporting, site visit preparation, and new program applications, while also developing and coordinating faculty and coordinator development initiatives. This role requires expertise in graduate medical education administration, accreditation compliance, stakeholder communication, instructional design and presentation skills.

Responsibilities include:

Accreditation & Compliance 

  • Assist in oversight of the Annual Program Evaluations (APE) process and its data for demonstration of substantial compliance with ACGME requirements.
  • Assist in oversight of data entry into the Accreditation Data System (ADS), including annual updates and reporting requirements.
  • Support program directors and coordinators in preparing documentation for site visits, ensuring adherence to institutional and ACGME accreditation requirements.
  • Assist in the preparation and submission of new program applications, complement change requests, and participating site requests.

Curriculum Development & Educational Support 

  • Identify and disseminate educational resources to address curriculum gaps and enhance training programs.
  • Support professional development efforts of program directors, and program coordinators by selecting, coordinating and disseminating training opportunities.
  • Assist in the development, provision and maintenance of learning resources, toolkits, and workshops to support GME programs.

Program & Stakeholder Development 

  • Assist in onboarding processes for new program directors and coordinators, ensuring alignment with institutional policies and expectations.
  • Organize, actively participate and present/teach in workshops, retreats, and professional development sessions for GME stakeholders.
  • Provide structured mentorship and training to program coordinators to enhance program efficiency.
  • Serve as a liaison between the GME office and programs, promoting best practices and standardization of policies.

Communication & Marketing

  • Assist in communicating the GME mission and vision to internal and external stakeholders through clear and compelling messaging.
  • Support the preparation of marketing materials, including newsletters, brochures, and social media updates, to promote GME initiatives.
  • Work with institutional marketing and communications teams to align GME messaging with broader organizational strategies.

Strategic Initiatives & Process Improvement 

  • Collaborate with institutional leaders on initiatives aimed at improving the quality of GME programs.
  • Lead process improvement projects related to accreditation, curriculum, and faculty and program coordinator development.
  • Lead and Chair one of the Graduate Medical Education Committee (GMEC) Subcommittee’s driving a more detailed review and analysis of particular areas (Curriculum, Quality, Program Evaluation, ect.) to report back recommendations to the full GMEC for final decision-making.

Expected Salary:

$85,000 - $95,000; commensurate with education and experience.

Minimum Requirements:

Master’s degree in appropriate area of specialization and two years of appropriate experience or a bachelor’s degree in appropriate areas of specialization and four years of experience.

Preferred Qualifications:
  • Experience in Graduate Medical Education (GME) administration, accreditation, or program management.
  • Prior experience supporting residency or fellowship programs in an academic medical center or healthcare setting.
  • Experience assisting with responses to accreditation citations and areas for improvement (AFIs).
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Excellent written and verbal communication skills, including experience developing and delivering presentations, marketing materials, and digital content.
  • Experience with GME-related platforms (e.g. New Innovations, MedHub, WebADS, ERAS, NRMP, Thalamus).
  • Familiarity with curriculum development, competency-based medical education, and faculty development.
  • Experience leading accreditation preparation efforts and site visits.
  • Strong problem-solving skills and the ability to work independently in a dynamic environment.
