  • Travel and PCard (UF GO): Serves as main point of contact for UF GO for faculty and staff who need assistance. Processes transactions including Travel Requests, Generic Reimbursements, Expense Reports, Cash Advances, and PCard reconciliation in UF GO. Acts as delegate approver for Assistant Director, Administrative Services. Offer insights on processes and workflows related to UF GO. Serves as P-Card Card Compliance officer and Procurement representative for NFREC-Quincy.

 

  • Fiscal: Processes E2Es for fuel chargebacks and expense corrections. Manages deposits by accepting all incoming checks and cash. Processes PayConex Credit card deposits in MyUFL. Ensures all deposit processes remain compliant with federal, state, and University regulations. Drives state vehicle as needed to make bank deposits on behalf of UF.

 

  • Procurement: Processes new vendor application and assists vendors with renewing inactive accounts.  Verifies that certificate of liability is current and in the UF system. Process cell phone reimbursements for NFREC-Quincy. Processes procurement transactions (Requisitions, POs, Confirming Orders, Change Orders, etc.)  in MyUFL Marketplace and ensures that all transactions align with university, state, and federal guidelines. Responsible for ensuring that purchases are allowable based on funding source and verifies that chart fields are correct for all procurement transactions. Communicates Procurement guidelines to faculty, staff, students, and administrators on a regular basis.

 

  • Administrative: Serves as backup front office receptionist by completing tasks to include answering muti-line phone system, shipping and receiving, managing mailroom, assisting visitors, faculty, and staff. Manages vehicle fleet inventory and vehicle logs. Assists with all NFREC events. Provides administrative support related to NFREC state and federal fiscal reporting requirements by gathering and analyzing financial data.

 

  • Provides fiscal support to Assistant Director, Admin Services as needed. This includes special projects, training and assisting with Procurement and financial transactions. Resolves financial and Procurement issues for faculty, staff, students, and administrators.
Expected Salary: $45,000.00 commensurate with education and experience
Minimum Requirements:

High school diploma or equivalent and three years of general accounts transaction experience. Appropriate college course work or vocational/technical training may substitute at an equivalent rate for required experience.

Preferred Qualifications:
  • Knowledge of bookkeeping practices and ability to perform mathematical calculations accurately.
  • Ability to learn and utilize computer software and university systems.
  • Ability to review fiscal data for accuracy and completeness and compliance with university guidelines.
  • Ability to organize and reconcile financial transactions.
