Job Description:

The Academic Assistant II in the Department of Mathematics will support a range of academic and administrative functions. This position is responsible for assisting with course scheduling, graduate program coordination, and faculty support, while also managing key departmental operations including. The role requires strong organizational skills, familiarity with UF systems, and a commitment to providing high-quality service. Duties and responsibilities include, but are not limited to: 

Graduate Program Administration 

  • Serve as the primary administrative support for the graduate program, handling admissions, enrollment, and course logistics. 

  • Maintain and update graduate student records, ensuring compliance with university policies and academic progress milestones (e.g., candidacy, exams, thesis defenses). 

  • Coordinate with faculty and the Graduate Committee on matters related to student status, scholarships, and academic progress. 

  • Process required paperwork and updates in the Graduate Information Management System (GIMS) and the Student Information System. 

Student and Faculty Support 

  • Advise graduate students and faculty on academic policies, deadlines, and procedural matters. 

  • Serve as the point of contact for grade-related inquiries, assisting with grade submissions and ensuring timely reporting. 

  • Assist students with enrollment, graduation applications, and processing of student petitions. 

Administrative and Clerical Support 

  • Provide general administrative assistance to the Graduate Coordinator, including managing files, preparing reports, and organizing departmental records. 

  • Ensure compliance with retention policies for graduate student records, processing petitions and grade changes as needed. 

Admissions and Application Processing 

  • Review graduate admissions applications, ensure completeness of materials, and assist with coordinating the application process. 

  • Communicate with the Admissions Office and Registrar’s Office to resolve issues and ensure the proper status for incoming and current students. 

Public Relations and Customer Service 

  • Act as a departmental liaison, responding to inquiries, greeting visitors, and directing them to appropriate personnel. 

Expected Salary:

The salary is $18 - $20, commensurate with qualifications and experience.  

This is a TEAMS position and is eligible for a suite of excellent benefits, retirement options, and paid leave.  

Minimum Requirements:

High school diploma or equivalent and three years of relevant experience. 

Preferred Qualifications:
  • Proficiency with UF systems, including PeopleSoft, UF GO, myUFL Market, and Grade-A-Gator. 

  • Strong written and verbal communication skills, with the ability to draft clear and professional correspondence. 

  • Experience in academic administration, and graduate program support. 

  • Solid understanding of UF policies, procedures, and regulations related to academic and administrative tasks. 

  • Demonstrated ability to manage multiple priorities, with excellent organizational skills. 

  • Experience in event coordination and logistics within an academic setting. 

  • Ability to work independently with minimal supervision, while maintaining a high level of professionalism. 

  • Commitment to providing excellent customer service to faculty, students, and staff.
