Job Description:

The University of Florida College of Nursing is seeking an Executive Director of Operations and Strategic Initiatives! They will have the responsibility of managing the operational strategy and execution of critical initiatives at the College of Nursing (CON). This position ensures the operational effectiveness of the college, drives process improvement initiatives, and aligns all operational functions with the college’s overarching strategic goals. The Executive Director of Operations and Strategic Initiatives will provide a broad range of support to the Dean of the College of Nursing (CON) through reporting, coordinating logistics, and communication for internal and external stakeholders to foster efficiency and collaboration within the CON on Operations, Financials, HR, IT, Compliance, Facilities and Strategic Initiatives. The incumbent will work independently, using sound judgment, discretion, and decision-making.

Responsibilities includes, but limited to:

Operational Leadership

  • Provide a broad range of support to the Dean through reporting, coordinating logistics, and communication for internal and external stakeholders to foster efficiency and collaboration within the CON.
  • Ensure alignment of metrics and goals in reporting to leadership and other stakeholders.
  • Coordinate college meetings, monitoring progress on strategic initiatives.
  • Direct and oversee all operational functions of the college to ensure efficiency and alignment with strategic priorities.
  • Develop and implement operational policies, procedures, and best practices to enhance productivity and support college-wide initiatives.
  • Manage time approval process, expense reports, and other operational needs as necessary.
  • Partner with hiring managers and the appropriate HR office to post vacancies, review applications, interview applicants, and process requests for hire.

Strategic Plan Execution and Evaluation

  • Research and Analysis: Conduct market, competitor, and industry analysis to identify trends, opportunities, and challenges.
  • Strategic Recommendations: Formulate long-term goals and provide recommendations to senior leadership for organizational growth and improvement.
  • Setting KPIs: Develop key performance indicators (KPIs) to measure success against strategic objectives.
  • Organizational Change Support: Assist in the management of organizational change that comes with new strategic initiatives.
  • Training and Development: Support or create training programs to help employees adjust to new processes, technologies, or strategies.
  • Data-Driven Decision Making
    • Data Collection and Analysis: Collect and analyze relevant data to track the success of strategic         initiatives.
    • Performance Metrics: Develop and analyze performance metrics, adjusting strategies as needed         based on data insights.
  • Feedback Integration: Gather feedback from teams and stakeholders, using this information to refine strategic initiatives and processes.
  • Innovation and Best Practices: Research and implement best practices and innovative strategies to improve overall business performance
  • Lead the execution and evaluation of the college’s strategic plan, ensuring alignment with institutional goals and performance metrics.
  • Monitor progress and provide comprehensive reports to senior leadership on the implementation of strategic initiatives.

Process Improvement

  • Identify, design, and implement process improvement initiatives that enhance operational effectiveness and resource utilization.
  • Foster a culture of continuous improvement by engaging stakeholders in the development of innovative solutions.

Stakeholder Engagement

  • Stakeholder Buy-In: Develop strategies to gain buy-in from key stakeholders for new strategies or changes.
  • Ensure effective and consistent communication within the team and between the team and appropriate stakeholders.
  • Collaborate with academic, administrative, and clinical leaders to ensure operational activities support the college’s mission and vision.
  • Serve as a liaison between the college and internal/external stakeholders for strategic initiatives.

 Budget and Resource Management

  • Oversee resource allocation for operational projects and strategic initiatives to ensure financial accountability.
  • Collaborate with finance and administration teams to optimize budget planning and resource distribution.

Leadership and Team Development

  • Supervise and mentor operational staff, fostering a high-performing, collaborative team environment.
  • Provide professional development opportunities to build capacity and improve team performance.

Compliance and Risk Management

  • Provide adequate assurance of internal controls and compliance with all policies, procedures, laws, and regulations. Direct design and implementation of CON policies and procedures for all financial and personnel transactional aspects.  Oversee CON internal audits to ensure compliance.
  • Maintain knowledge of financial and personnel policies, procedures, rules, regulations, and statutes as established and promulgated by the State of Florida, Board of Governors, UF, Finance and Administration, Contracts and Grants, Sponsored Research, Finance and Accounting, and other regulatory or governance entities; ensure that CON policies remain in compliance.  Responsible for meeting the requirements of Section 215.422, Florida Statutes, regarding the approval and/or processing of vendor invoices and/or distribution of warrants to vendors.  Communicate to all employees in the CON, established policies, state regulations, and changes in said policies and regulations to comply with statutes.
  • Ensure compliance with institutional policies, accreditation standards, and regulatory requirements in all operational activities.
  • Identify potential risks and develop mitigation strategies to support sustainable operations.
Expected Salary:

 $155,000 - $170,000 annually

Minimum Requirements:

Master’s degree in an appropriate area and six years of relevant experience; or a bachelor’s degree in an appropriate area and eight years of relevant experience.

Preferred Qualifications:

EDUCATION & TRAINING:

  • Advanced degree in Finance, Accounting, or Business, MBA preferred

EXPERIENCE:

  • PeopleSoft ERP experience
  • Workday ERP experience
  • Working knowledge in these areas: Windows, Microsoft Word, Microsoft Excel, Microsoft Access, Microsoft Outlook and internet browsers. 

KNOWLEDGE:

  • Knowledge of the State University System (SUS), UF, State and Federal rules and regulations as it applies to operations, finance, HR, IT and compliance.
