Job Description:

 Residency and Fellowship Programs, Education, and Assessment Responsibilities

  • In concert with the Residency/Fellowship Program Directors and supervisor, oversight of overall administration of the Department’s housestaff, which includes a core residency program composed of twenty-one residents, and three fellowships (Endovascular Surgical Neuroradiology, Stereotactic and Functional, and Neuro-oncology) composed of 3 fellows.
  • Maintain accurate and comprehensive academic records for all current and former trainees, including managing the department’s Alumni Database, which stores contact information for past and present faculty, residents, and fellows.
  • Manage and monitor all documentation of residents'/fellows' progress towards meeting their program-specific milestones using New Innovations and other methods of evaluation and assessment.
  • Prepare and distribute all requisites materials for monitoring and reporting on resident progress and faculty teaching efforts.
  • Collaborate with Residency and Fellowship leadership to develop educational materials and assess classroom and laboratory requirements to support effective educational sessions
  • Track educational activities of departmental training programs. Disseminate information for resident/fellow educational conferences and track attendance.
  • Support residents/fellows with their other training and educational needs, when appropriate.
  • Attend quarterly Graduate Medical Education coordinator meetings and, when appropriate, Association of Residency Administrators in Neurosurgery Surgery (ARANS) and Society of Neurological Surgeons (SNS) Annual Meeting and Accreditation Council for Graduate Medical Education (ACGME) National Conference meeting in order to stay up to date on the latest changes in the program requirements.

 Technical Management of Programs, Including recruitment

  • Organize and prepare and aid in preparing ACGME annual updates, including progress reports when necessary.
  • Prepares of AGME self-study and site visits.
  • Plan, organize, and implement recruitment activities for all training programs within the department while maintaining accurate records for residents and fellows.
  • Research and complete verification of training forms.
  • Maintain web-based software applications, including New Innovations and Accreditation Council for Graduate Medical Education Accreditation Data System, by ensuring schedules, scholarly activity, evaluations, resident/fellow/faculty information, etc., are up to date.

Administrative Customer Service

  • Customer service: respond to all inquiries via email or phone regarding the Residency and Fellowship Programs.
  • Coordinate the appointment process for new residents and fellows, as needed.
  • May assist in administering all in-training exams in the Department.
  • Organizes the continuing medical education activities in the Department (manage travel logistics for guest speaker, prepare paperwork for honorarium, track attendance, arrange food logistics, complete and process required paperwork) to obtain continuing medical education credits through the UF Graduate Medical Education Office.
  • Manage program CME for monthly grand rounds and weekly pre-op conference (submit CME application annually, monthly and weekly submit flyers, conference attendance sheets and survey data to CME office for compliance and credit for attendees.
  • Assist attendees with CME transcripts/certificates of attendance when requested.
  • Prepare reimbursements for residency/fellowship education-related expenses.
  • Prepare and submit invoices for the education office food and event-related expenses.
  • Manage external medical student rotations and interviews during rotation.
  • Manage calendars and schedule appointments, meetings, lectures, and seminars. Schedules conference room and ordering food for education office affairs.
  • Prepare quarterly invoices from the VA regarding residents' VA rotation schedules for review.
  • File letters of recommendation for medical students, residents, and fellows.
  • Manage Effort Reporting for the Department of Neurosurgery class sections.
  • Participate and maintain Residents with fellowship applications and records.
  • Serve as content reviewer for the Departments web-page as it relates to the education program.

 Event Planning

Collaborate with the supervisor to plan and execute both internal and external events, including but not limited to the Resident and Fellow Graduation Ceremony, Alumni Receptions at national meetings, the Transition to Internship (TTI) program, the Department Picnic, Team Building Activities, Visiting Professors, the Annual Softball Tournament, and Annual Research Day. Additionally, assist with the annual Visiting Professor activities by coordinating travel logistics, preparing honorarium paperwork, creating itineraries, processing necessary documentation for educational lectures, and preparing expense reports.

 

 

Expected Salary:

$46,300-$52,600

Minimum Requirements:

Bachelor's degree and two years of relevant experience; or an equivalent combination of education and relevant experience.

Preferred Qualifications:
  • Familiarity with Microsoft applications: Word, Excel, Access, PowerPoint
  • Working knowledge of desktop publishing layout and design
  • Knowledge of general office procedures and practices
  • Good grasp of the English language (grammar, spelling, punctuation)
  • Ability to transcribe dictation
  • Ability to compose own correspondence and edit that of others
  • Ability to organize and prioritize workload-Ability to get along with others
  • Ability to multitask and handle several events at a given time.
