The College of Medicine is seeking an Administrative Assistant II to join the Center for Experimental Learning and Simulation. This role will serve as the administrative support to the directors of CELS and as the face of CELS in the front desk position. Having excellent organization skills and a passion for providing support to both ALAC (Anaclerio Learning Center) and CELS (Center for Experimental Learning and Simulation) will ensure a smooth operational flow.
About This Role:
Front Desk Operations
- Greet visitors, manage incoming calls and mail on the 3rd and 4th floors
- Provide excellent customer service to faculty, staff, students, and external parties
Administrative Support
- Provide administrative support to Medical Directors, Operational Directors, and other senior staff members, this including:
- Scheduling appointments and meetings
- Preparing reports, presentations, agendas, and food for meetings
- Offer administrative assistance to CELS and ALAC staff and directors as needed
Attendance Monitoring
- Monitor attendance of students and learners (SP) with minimal supervision
- Ensure accurate records are maintained
Reporting and Data Management
- Create reports on SP attendance, evaluations, and other relevant metrics as required
Office Supply Management
- Maintain office and exam room supplies on the 3rd floor through ordering, receiving, and distribution. This includes supplies needed in the ALAC exam rooms to conduct standardized patient exams and office supplies for the ALAC offices.
- Ensure adequate inventory levels for smooth operations
Social Media/Website Management
- Manage the social media presence and website of ALAC
Special Projects
- Assist SP Coordinator and SP Educator in organizing orientation and first day for all new standardized patients
