Job Description:

The College of Liberal Arts and Sciences (CLAS) Research Office is accepting applications for two Research Administrator positions at either the RAII or RAIII level. The Research Administrator provides professional oversight, guidance, and coordination to sponsored project administrative and fiscal operations. This role coordinates projects within CLAS in accordance with University and sponsor regulations, interprets policies and procedures for faculty and departments, and assists with the monitoring and preparation of reports for sponsoring agencies. The position also facilitates advances in service delivery and efficiency, while monitoring and managing quality, performance improvement, and continual process assessment. In addition, this position is responsible for building relationships with units served by the CLAS Research Office and university constituents, and supporting a culture centered on delivering excellent customer service. Duties and responsibilities include, but are not limited to:

  • Proposal Development and Pre-Award Support: Collaborates with Principal Investigators (PIs) to develop and manage proposals for federal, state, and private funding agencies. Reviews proposals for compliance with sponsor and University guidelines, provides technical assistance, and ensures accurate submission of proposals in UFIRST.

  • Post-Award Management and Compliance: Manages the review and acceptance of grant and contract award terms and conditions. Oversees the financial management of grants and contracts, ensuring compliance with sponsor regulations, and resolves any financial and administrative issues related to grants and contracts.

  • Financial Analysis and Reporting: Conducts expense analysis, develops cost projections, and prepares financial reports.

  • Liaison and Communication: Serves as the primary contact and liaison for departmental faculty, staff, and the Division of Sponsored Programs. Facilitates communication and builds strong working relationships to promote a supportive and responsive research administration environment.

  • Compliance, Audits, and Record-Keeping: Ensures compliance with university, state, federal, and sponsor regulations. Assists in audit preparations and maintains accurate records of all sponsored project activities.

  • Other Duties as Assigned: Assists with special projects, professional development activities, and represents the CLAS Research Office in core office initiatives.

Expected Salary:

Research Administrator II: $61,000 - $70,000

Research Administrator III: $70,000 - $80,000

This is a TEAMS position and is eligible for a suite of excellent benefits, retirement options, and paid leave.

Minimum Requirements:

RA II: Bachelor’s degree and two years of experience in grant and contract administration; or an equivalent combination of education and relevant experience.

RA III: Bachelor’s degree and three years of experience in grant and contract administration; or an equivalent combination of education and relevant experience.

Preferred Qualifications:
  • Experience:
    • Knowledge of university and state regulations related to sponsored research administration, fiscal, budget matters, and human resources.
    • Proficiency with Microsoft Office, myUFL, UFIRST, myinvestiGator, Grants.gov, Research.gov, Era Commons (NIH), fund accounting, and/or HR Services.
  • Knowledge:
    • Understanding of excellent customer service.
    • Knowledge of university and state regulations regarding sponsored research administration fiscal and budget matters, and human resources.
    • Familiarity with sponsor regulations and direct research administration fundamentals.
  • Skills:
    • Strong critical thinking, analytical, and problem-solving skills.
    • Excellent interpersonal and team management skills.
  • Abilities:
    • Ability to work independently and as part of a team.
    • Ability to establish and maintain effective working relationships with faculty, administrative staff, and other campus departments.
  • Other Qualifications:
    • Professional attitude in all interactions, communications, and appearance.
    • Self-motivated and capable of prioritizing tasks, managing conflicting responsibilities, and consistently meeting deadlines.
