Job Description:

The Department of Medicine, Division of Nephrology is seeking a full time Lab Admin Coordinator II. The Computational Microscopy Imaging Lab (CMI Lab) led by Dr. Pinaki Sarder in the Department of Medicine at the University of Florida is seeking a high-level Lab Administration Coordinator to assist a transdisciplinary team in conducting cutting-edge clinical research in medical artificial intelligence. Successful candidates will provide research administration, fiscal, human resources, and post-award management for a transdisciplinary team of engineers in conducting multi-institutional sponsored research in medical artificial intelligence. The candidate will support the PI on sponsored projects from R01s to OT2s and ARPA-H grants. The candidate will work with national and international experts in molecular imaging, pathology, AI, machine learning, software development, and software usability to accomplish our goals and meet project milestones and deliverables.

Essential Functions;

Research Administration & Regulatory Coordination
• Assist the PI in ensuring projects are on schedule, invoices handled, deliverables met, and goals completed per promised timelines.
• Create and manage regulatory submissions (IRB) and research contracts (DUAs, MTAs) to ensure compliance with university and federal policies.
• Organize meetings, capture and distribute meeting minutes, and determine and assign action items.
• Ensure timely reporting with lab staff and students.

Editorial Support 
• Write letters of support, internship letters, and other letters as needed, and obtain signatures.
• Create website content and news articles; manage lab and faculty social media presence on Twitter and LinkedIn.
• Create presentations and work with stakeholders and graphic designers to create templates, logos, etc

Fiscal, Human Resources, & Other Responsibilities 
• Liaise with financial team to ensure students, staff, and equipment are distributed to appropriate funding sources.
• Write job descriptions and manage HR process for hiring of staff, post-docs and graduate assistants.
• Purchase lab supplies, equipment, and HiPerGator resources in coordination with administrative and fiscal staff.
• Working alongside the administrative assistant, assist the PI in registering for conferences and arranging his travel.
• Assist in creation of course curriculums, course management, drafting and editing syllabi, and Canvas communications.

               
Expected Salary:

$19.08 - $22.59 Hourly

               
Minimum Requirements:

High school diploma or equivalent and three years of relevant experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

               
Preferred Qualifications:

Master’s degree in an appropriate area of specialization and 5 years of experience.
Ability to plan, organize, and coordinate work assignments independently, with a demonstrated ability to work as part of a team toward organizational objectives.
Work effectively and communicate with diverse audiences, interpret technical information, and relate it in nontechnical language to local community.
High level of analytical, organizational, and planning skills.
Superior grammar and writing skills.
Willingness to work occasionally in evenings and weekends and to travel to two to three meetings a year.
Proficiency in data management and superior organization skills.
Integrity, careful attention to detail; ability to maintain confidentiality, demonstrate professionalism.
Ability to interpret and apply grant & contract guidelines and regulations. UFirst experience.
Knowledge of IRB processes.
Knowledge of Qualtrics and WordPress preferred.
Skills in word processing and spreadsheet programs, including Microsoft Excel, database programs, including Access, email, including Outlook, Web browsers, Google software suite, Microsoft Office Suite, Adobe Acrobat, and PubMed database.
Knowledge of HIPAA and IRB regulations for data management and data sharing.
Expertise and skill in computer use; ability to learn new software.
Ability to plan, organize, and coordinate work assignments.
Project management experience. Experience with project management tools and software.
Experience managing multi-institution projects.
Skilled at providing excellent customer service
