The Department of Animal Sciences is seeking a Program Assistant. This department is an academic department in the College of Agriculture and Life Sciences (CALS), a unit of the Institute of Food and Agriculture Services (IFAS). This position will assist in the overall daily operations of Animal Sciences core Management office by providing superior customer service and displaying a can-do attitude in a fast-paced environment. This position will provide fiscal, departmental event and program support and function as part of the Business Office team.
Duties and responsibilities include but are not limited to:
* Process fiscal transactions and provide assistance to fiscal operations in the Department of Animal Sciences. This position is part of the Business Office team that provides fiscal support to the Department of Animal Sciences and directly contributes to a culture of transparency, compliance, teamwork, and exemplary customer service. - Position will process purchase orders and invoices and include all necessary back-up documentation in myUFMarketplace according to all directives as outlined by UF Procurement. - Position will process Pcard transactions, attach necessary backup documentation, confirm payment chartfield information according to directive as outlined by UF Directives and Procedures for Pcard. - Position will process Travel Authorizations and Expense Reports in compliance with UF Travel and Expense Directives. - Position will process annual Wireless Device Allowance reimbursement processing for the Department. - Position will process cash, check and EFT deposits as received from units, mail, or notification by Treasury Management. Separate of duties will be imperative to processing of these transactions. Transactions are to be processed as outlined by UF Finance and Accounting guidelines as well as the Department of Animal Sciences documented processes.
* Assist with Departmental event planning, preparation, ordering of supplies, set-up, and onsite coordination. To include assisting with event registration on and off-site, catering coordination and set-up, coordination of any rental equipment needed. Processing of all financial transactions (purchase orders, invoices, pcard purchases) related to departmental events. Requires driving for event preparation and clean up.
* Position will be part of the Animal Sciences Business Office team and would be expected to assist on any special budget projects as needed, searching for financial data, compilation of transactions on awarded projects as required by funding agencies, materials & supplies fee research projects, equipment course fees projects or any special projects as assigned by the Administrative Services Manager.
* Other duties as assigned by supervisor
Normal Work Schedule : Monday through Friday. Typical schedule would be 8:00 am to 4:30 pm with a 30 minute lunch break period. This position should allow for a flexible schedule for after hours or weekend events as occasionally needed.
