The Academic Assistant II in the Department of Geography provides essential administrative support to departmental faculty, staff, and graduate students. Responsibilities include managing graduate admissions, coordinating academic program activities, and supervising student assistants. This role is vital to ensuring smooth departmental operations and academic program success. The primary duties for this position include but are not limited to:
Academic Support
- Oversee the department’s academic programs, including UF Online and certificate programs.
- Support graduate assistants and visitors with guidance on departmental policies, college/university procedures, and academic processes.
- Manage data entry and retrieval for graduate applications, student enrollment, course scheduling, study abroad, drop/add, and instructor evaluations.
- Coordinate graduate admissions with the Graduate Coordinator, maintaining communication with applicants and managing application materials.
- Serve as primary point of contact for academic administration, including grading, textbooks, academic deadlines, and course setup.
- Track enrollment, process instructional data, and compile departmental instructional reports.
- Assist students with undergraduate course enrollment and drop/add support.
- Supervise work-study students and interns, coordinating recruitment and management.
Administrative Support
- Manage PCard charges and submit approval requests to CLAS SSC; monitor course material and supply fees.
- Coordinate departmental events and receptions, including ordering awards and travel arrangements for search committees.
- Support faculty promotion, tenure, and annual reporting processes.
- Collaborate with Graduate Coordinator and UF International Center for visa-related documentation.
- Oversee department media and digital displays, promotional materials, and website updates.
General Office Support
- Serve as the department’s primary point of contact, answering phones, emails, and greeting visitors.
- Handle incoming and outgoing mail, maintain departmental room schedules, and manage work orders for building and IT maintenance.
- Oversee general office duties such as managing inventory, ordering supplies, submitting requests to SSC, and report preparation.
- Coordinate space management, allocation, asset tracking, and surplus requests.
Perform other duties as assigned.

Expected Salary: |
The salary is $18 - $20 hourly, commensurate with qualifications and experience.
This is a part-time, .5 FTE (20-hour-per-week) TEAMS position and is eligible for a suite of excellent benefits, retirement options, and paid leave.

Preferred Qualifications: |
- Experience with university systems such as PeopleSoft, myUFL, and familiarity with UF policies and procedures.
- Proven experience in administrative support, particularly in an academic setting.
- Strong organizational and multitasking skills with attention to detail and ability to manage competing priorities.
- Familiarity with scheduling, academic records management, and event planning.
- Effective written and verbal communication skills for engaging with faculty, students, and external contacts.
