The Opportunity:

The University of Florida's College of Journalism and Communications (CJC) is seeking an experienced and detail-oriented Administrative Assistant III to support the Divisions of Graduate Studies and Research. This position processes financial transactions, including P-card charges, expense reimbursements, travel, and voucher payments. This role also provides administrative support for research projects, which includes research participant payments and survey platform payments Prior experience with financial processing is preferred, and prior experience with UF financial systems is strongly preferred. Additionally, this role involves processing graduate assistantships, fellowships, adjunct faculty, and student work assignments. These duties include drafting letters of offer, evaluations, and inputting payroll distributions. The ideal candidate will have excellent organizational skills, a strong understanding of university systems, and the ability to manage multiple tasks efficiently.

Key Responsibilities:

  • Financial and Procurement Support: Handle financial transactions such as travel reimbursements, vouchers, and P-card purchases. Oversee procurement and purchasing activities for graduate and research divisions, including research participant payments and grant-funded expenditures.
  • Personnel and Appointment Management: Process graduate assistant (GA) and adjunct faculty appointments, including payroll distributions, tuition waivers, and related documentation. Manage fellowships, graduate scholarships, and ensure all forms, evaluations, and compliance materials are up to date.
  • Event Coordination: Schedule travel and process invoices, expense reimbursements, and P-card purchases related to Division events. These include Doctoral Visitation, Graduate Orientation, Research Fridays, and other appreciation events.
  • Administrative Support: Provide general administrative assistance to the Graduate and Research divisions, including preparing reports, assisting with special projects, and ensuring smooth daily operations for both divisions.

Expected Salary:

$21.55 - $26.24 per hour

Minimum Requirements:

High school diploma or equivalent and seven years of relevant experience or an equivalent combination of education and experience.

Preferred Qualifications:

Proficiency with PeopleSoft SIS, UF Go, myUF Market, and financial systems.

Strong understanding of graduate education policies and procedures.

Excellent organizational, communication, and problem-solving skills.

Experience with processing financial transactions, such as vouchers, travel reimbursements, and P-card purchases.

Experience with University of Florida systems, particularly in managing graduate programs and research projects.
