Job Description:

The Department of Health Outcomes and Biomedical Informatics is looking for a detail-oriented and proactive part-time Administrative Assistant to support our team with daily administrative tasks. In this role, you will support scheduling, organizing meetings, handling travel arrangements, and processing expenses for the department's Associate Chair of Faculty Development & Professor, Dr. Staras. The ideal candidates are highly organized, enjoy multitasking, and have strong communication skills.

  • Calendar Management
    • schedule meetings
    • reserve conference rooms for the meetings
    • organize the meetings
    • prepare conference rooms for meetings. This includes straightening chairs and setting up the technical equipment
  • Procurement Submissions
    • purchase orders
    • travel authorization and travel expenses
    • expense reports
    • receipts and invoices appropriately per departmental protocol
    • requisitions
  • Travel and Accommodations
    • coordinate travel plans including:
      • hotel reservation
      • conference registration
    • complete documentation related to travel (such as completing foreign travel or shipment Requests)
  • Reconcile procurement cards (PCards - corporate credit card)
  • Triage and respond to queries on the phone and by e-mail
  • Perform a variety of  administrative duties assigned by Dr. Staras
Expected Salary:

$20 per hour

Minimum Requirements:

Experience with scheduling, organizing meetings, handling travel arrangements, and processing expenses.

Preferred Qualifications: Ideal candidates are highly organized, enjoy multitasking, and have strong communication skills.
