Job Description:

Staff Supervision, Performance Management and Professional Development:

  • Overall oversight and knowledge leader for the RA team; 
  • Oversees the direction, management, and operation of pre-award and post-award research administrators in the Office of Research and Graduate Studies. 
  • Recruit, retain, and hire RA team members;
  • Develop processes and procedures for the Research Administration team to ensure resources and training are available to team to meet their responsibilities;
  • Develops and implement tools for the RA’s and PI’s to manage project status effectively and efficiently; creating forecasting models, scenarios, and decision aides; including reports on budgets, burn rates, tracking personnel and summer salaries, FAR and effort reporting, processing carryforwards, re-budget or revisions to grant budgets, and preventing or resolving cost over-runs.
  • Work with the RA Manager and Associate Dean of Research to complete performance reviews in accordance with University guidelines and ensures that each staff members has annual goals and objectives; 
  • Mentors, trains, and assists with professional development all team members in the Office of Research and Graduate Studies. Serves as subject matter expert to CVM faculty, staff, and trainees regarding pre- and post-award processes and sponsor requirements.
  • Stay up to date with industry best practices and major changes to agency guidelines, and implement necessary changes to procedures 
  • Oversee and ensure smooth transition of awards for new hires including those with research portfolios; 
  • Evaluate RA office performance and strategize on ways for growth improvement.
  • Works closely with Associate Dean in setting annual grant productivity goals and tracks progress. Creates operational workflows to effectively track performance metrics

Pre-Award Management:

  • Working closely with stakeholders for pre-award management of research grants and grant-related funds: Broadly oversees, acts as knowledge resource, and provides a role model to the team performing pre-award activities to enable faculty to submit their research proposals in a timely manner and in accordance to sponsor and university requirements. Specific duties include:
  • Development of pre-award policies and procedures ensuring they are in alignment with University requirements;
  • Assign workload to RA staff to ensure balanced workload;
  • Develop and conduct training on Research Administration system for faculty, staff, trainees, and RA team;
  • Interact and partner with UF’s Division of Sponsored Programs and Contracts and Grants;
  • Serves as liaison and leads initiatives with UF’s Divisions of Sponsored Programs and Contracts/Grants including support of electronic system enhancements, upgrades, and support tickets as well as external sponsor portals and other necessary tools to ensure quality and efficient business processes
  • Work to actively resolve conflicts that may arise among faculty and research administrative staff; and
  • Perform proposal reviews as necessary.

Post-Award Management:

Monitoring projects for appropriate purchases, personnel distributions, expiration dates, remaining balances, IACUC/IRB protocols and other post-award duties: Broadly oversees, acts as knowledge resources, and provides a role model for the team performing post-award activities to enable Principal Investigators to execute and manage their research awards in accordance to sponsor and university requirements. 

Specific duties include:

  • Consult with college stakeholders and Finance Office on oversight of post-award policies and procedures ensuring they are in alignment with University requirements;
  • Interacts with research administrators at other institutions to facilitate timely submission of collaborative proposals. 
  • Assign workload to RA staff to ensure balanced workload;
  • Conduct training on research administration System;
  • Interact and partner with UF’s Division of Sponsored Research and Contract/Grants Office, as necessary;
  • Monitor compliance with University and sponsor regulations;
  • Work to actively resolve conflicts that may arise among faculty, RA staff, and/or Sponsored Programs

Reporting, Compliance, and Strategic Support:

  • Provide a set of consistent and standardized reports related to the college's research portfolio to leaders on a regular basis; Provides reports to faculty and leadership on long-term financial viability of department/centers given multiple grants and contracts from various sources with differing project end dates. 
  • Advises faculty and staff on how to best maintain compliance. Communicates critical information to stakeholders.
  • Respond to requests for data and information from college and university leaders;
  • Monitor compliance with University and sponsor regulations;
  • Ensures all activities comply with university, state, and federal regulations and reducing any associated liability to the institution. Continuously monitor for updated regulations and policies to ensure sponsored research/other program compliance and communicate those to all necessary parties. 
  • Support the College and University in regards to strategic initiatives related to sponsored research.
  • Serves as a strategic leader and directs activities within CVM’s sponsored program enterprise. 
  • Contributes to AVMA accreditation by producing annual reports of research and grant productivity
  • Identifies and proactively addresses potential organizational issues, collaborate with Associate Dean on developing effective solutions, and continuously monitor, adapt, and recalibrate progress toward achieving short- and long-term goals.
  • Possesses strategic and operational authority to implement research activities and initiatives under the leadership and guidance of the Associate Dean of Research.

Other related duties as assigned and necessary to support the college research portfolio.

  • Supports other projects and reports as assigned by the Associate Dean for Research and Graduate Studies
Expected Salary:

Commensurate

Minimum Requirements:

Master's degree in an appropriate area and six years of relevant experience; or a bachelor's degree in an appropriate area and eight years of relevant experience.

Preferred Qualifications:

-Extensive experience working in a higher education/university environment in research administration; and
-Certified Research Administrator.
-Significant, effective work-related grants and contracts management experience (generally ten years or more);
-Knowledge of federal rules and regulations relating to research grant and/or contract activity;
-Knowledge of University policies and procedures relating to grant and contracts activity;
-Knowledge of University processes, systems and offices related to and/or involved in grant and contract submission and management;
-High-level interpersonal skills; ability to communicate effectively both verbally and in writing with all levels of the organization;
-Proficient use of computers; solid working knowledge of MS Office Suite (Word, Access, Excel, PowerPoint);
-Ability to analyze data and formulate conclusions;
-Ability to assign and prioritize duties across staff;
-Ability to influence and motivate faculty, staff, colleagues;
-Ability to manage and prioritize multiple projects/tasks simultaneously; and
-Ability to create verbal and written reports.
