Job Description:  This position assists the UF/IFAS Annual Report Publication Coordinator, who works with the UF/IFAS (Institute of Food and Agricultural Sciences) Office of Research, in preparing the UF/IFAS annual report of peer-reviewed journal articles for submission to the USDA in late-March 2025. 

Work on the project will consist of creating 27 separate unit lists in EndNote, Excel, and Word, which in total contain approximately 2,400 citations and a master list of unique citations in EndNote Web, Word, and Excel.  Attention to detail is extremely important

Duties and Responsibilities:

  • Downloads article citations from Scopus, Web of Science, and journal websites into EndNote Web
  • Verifies all citation elements are correct in EndNote and Word/Excel
  • Reviews each citation for compliance with established publication guidelines, which includes verifying:
    • that article is in its “final form” in 2024 (not online first/preprint/first look, etc.)
    • the journal and article type of the citation are both peer-reviewed
    • at least one of the referenced authors is affiliated with UF and the unit
  • Reviews all of the final lists to ensure accuracy

Schedule: 

  • Work hours are Monday through Friday (between the hours of 8 am – 5 pm)
  • 20 hours are expected December 10th-19th during training and the beginning of January
  • 30-40 hours are expected to be early January through late March
  • Please note that there will be a pause in work from December 20, 2024- January 6, 2025. Work resumes January 7, 2025.
Expected Salary:

$19.00 / hour

Minimum Requirements:
  • High School Diploma
  • Ability to work 30-40 hours
Preferred Qualifications:
  • Experience using EndNote Web or similar citation management program
  • Experience using Google Sheets
  • Familiarity with Web of Science and/or Scopus
  • Excellent communication, organization and problem-solving skills
  • Experience using Microsoft Word and Microsoft Excel (manipulating cells, sorting, copy/paste)
  • Strong ability to pay attention to detail
  • Ability to work independently, once trained and to ask questions when needed
