Registration: Process registration on all incoming specimens: Initiate patient records for new outreach patients; check demographic information, verify insurance and process required authorizations through a variety of secure resources. Handle daily work queues from Registration /Billing department to ensure no duplicate records are generated and issues are cleared. Review all data entry in queues for accuracy, making corrections as needed and notifying supervisors/co-workers. Communicate news/ongoing issues to Registration team and co-workers. Coordinate problem handling with Client Service department to provide best patient care.
Triage: Receive and record all specimens/slides/blocks/other material into daily receipt log, Pre-accession specimens, order tests, print labels, attach to paperwork and specimen container; print Test Order form. Forward copies to appropriate lab department and deliver specimens to designated locations.
Intake/Slide Control: Receive/return and track specimens/slides/cases to and from UF Health Pathology Laboratories satellite laboratory/locations. Distribute slides to the appropriate pathologist. Maintain records of slides sent/received and their distribution points. Assist UFHPL personnel in locating slides that have been distributed to Pathologists. Internal sweep delivers and picks up slides from various locations within the laboratory. Track slides to archive/storage and maintain slide archive. Handle internal and external loan out requests. Return consult materials slides/blocks and batch materials to Outreach clients according to departmental procedures. Track/scan all materials appropriately and package for delivery by courier or overnight delivery. Maintain loan-out and follow-up records of outstanding materials.
AP Accessions: Prepare Anatomic Pathology laboratory specimens for designated departments/locations prior to laboratory analysis and testing. Unpack specimens and route specimen by type to various staging area; prepare all specimens received for testing, such as staging of slides, blocks and other specimens. Create case in laboratory information system [EPIC Beaker] by case type, label all materials and paperwork, scan paperwork. Deliver specimens to gross room, staging area, laboratory department. Resolve and documents problem cases.
Reporting [Transcription/Editing]: Responsible for accurate and timely transcription/editing of gross and microscopic surgical reports, nongyn cytology, autopsy reports. Interpret, edit medical dictations according to established departmental procedures. Create preliminary case reports using consultative materials, outside pathology reports, requisitions, and/or gross description dictation. Review patient and case data for accuracy, spelling, grammar and proper medical terminology on all reports. Verify accuracy of ICD10 and CPT codes. Complete final reports by code from rough draft or dictation by machine and return to pathologist in electronic form. Create Amendments and Addendums when needed. Resolve issues when possible, report to supervisor, document all problem cases in customer management system.

Unpack specimens from branches or ports and route specimens by type to various staging areas. Prepare all specimens received for testing in designated laboratory departments or locations such as staging of specimens, centrifuge, separate serum, and blood smears. Aliquot sample for departments. Prepare excess specimen sample for storage and resolve and document problem specimens.
