The duties of the Residency/Fellowship/ Education Programs Coordinator include:
Supports the Program Director and Associate Program Director with overall administration of the department housestaff. Collaborate with the directors with monitoring and documenting resident/fellow progress towards meeting program specific milestones using New Innovations and other methods of evaluation and assessment. Assist residents and fellows with training and educational needs when appropriate. Attend quarterly Graduate Medical Education (GME) coordinator meetings, monthly UF GME meetings and other conferences as appropriate to stay up to date on the latest changes in program requirements. Organize and prepare accurate documentation of program compliance with ACGME, UF GME, and ABPMR defined program requirements, provide assistance in preparing ACGME annual updates, and provide progress reports when necessary. Must be knowledgeable of rules and regulations governing housestaff leave and maintain accurate records. Effectively use ERAS, THALAMUS, and NRMP R3 System to plan, organize, and implement recruitment activities for all training programs. Arrange travel for the Program Director and Associate Program Director, residents, and fellows. Submit and track travel authorization requests, registration payments, and reimbursement requests.
Responds to all internal and external inquiries regarding the residency and/or fellowship program. Supports the processing of appointments for onboarding as needed. Assists in administering in-training exams for the program. Manages calendar and appointment scheduling such as meetings, lectures, and seminars. Prepares letters of recommendation for program participants on behalf of the Director. Assists residents with fellowship applications.
Coordinate scheduling of medical students, interns, and visiting med students for departmental elective rotations. Coordinate visiting students with the Senior Electives Coordinator. Review application documents in Visiting Student Learning Opportunities (VSLO). Orient students to rotation locations. Submit director, staff, and course updates in MedCat to the Senior Electives Coordinator.
Process all documentation for observers, must responds to all internal and external inquiries in a timely fashion.
Update the departmental website on residency, fellowship, and education programs and activities. Additional duties as assigned by the Program Director and Associate Program Director. There may be instances of rare Saturday or after-hours work during times of residency recruitment or other time-sensitive deadlines.
