Job Description:

Travel- This position will be responsible for Travel Authorization Request (TAR) for faculty, residents and staff, this will also include guest speakers and recruitment visitors. This position will arrange travel including booking flights, car rentals, hotel reservations, conference registration, parking, etc. for Fiscal Staff, Department Chair and Division of Education. Will assist other divisions within the Department of Psychiatry as needed. This position will process expense reports, including reimbursement of travel expenses paid with both personal monies and department P-Card purchases. This process will include verifying all required documentation for trips is attached to the reimbursement vouchers.

Payables- This position is responsible for purchases for department divisions, including office supplies, arrange business office meeting (food) etc. creates requisitions through myUFL Market for purchase orders, processes vendor invoices for payment through myUF Marketplace, vendors & consultant applications to setup in PeopleSoft, processes expense reports for faculty/staff reimbursements, sets up work orders for Fiscal office maintenance needs (PPD, Xerox, departmental Keys, etc.) works with purchasing on vendor contracts for services (room rental for recruitment, marketing/sponsorships, etc.) handle membership dues for faculty and residents, record and update faculty and resident professional development allowances. This position will report on spending of various department functions (grand rounds, resident recruitment, didactics and graduations). This position will also do journal entries (E2E and E2R).

P-Cards- Reconciliations and Reporting. Responsible for approving, tracking, and reconciling all p-card and payable transactions by division against the p-card Aging Report and department ledger. Tracks budget for department annual functions, graduation, holiday function, resident recruitment, and welcome function for new residents.

Misc. Duties- Receptionist Fiscal Office, faxes, phones, sort/distribute mail, departmental errands.

Expected Salary:

$19.00 - $21.00

Minimum Requirements:

High school diploma or equivalent and three years of general accounts transaction experience. Appropriate college course work or vocational/technical training may substitute at an equivalent rate for required experience.

Preferred Qualifications:

Knowledge of procedures for University purchasing, general office, basic arithmetic, bookkeeping and basic filing practices. Accurate typist and ability to use calculator, to maintain fiscal records, organize and file materials, review fiscal data for accuracy and post, balance and reconcile fiscal records. High school diploma and three years of appropriate experience or equivalent college coursework or vocational-technical training.
