Budget - Assist with completion of the department budget in the budget reporting system used by the College of Medicine. This involves working closely with the Director, Section Chiefs, and the College of Medicine budget team. Reconcile monthly budget reports to Department reports. Analyze variances and report to the Director. Prepare monthly financial reports for faculty and respond to inquiries from COM fiscal office on budget variances.
Fiscal Operations - Responsible for daily operations of the fiscal office. Responsible for timely processing of all purchase orders and payments through PeopleSoft including grants, travel, expense reports, and income deposits with university systems and the Florida Clinical Practice Association. Process all checks, invoices, journal entries, requisitions, vouchers, and procurement transactions for department P-Card holders.
Auditing, Contract Management & Surveys - Periodically audit travel authorizations, vouchers, and salary along with the fringe pool percentage for correct entry to PeopleSoft, FCPA, & the department's backup system. Make necessary corrections with journal entries or transfers. Set up, monitor, and allocate periodically to department discretionary accounts for faculty, fellows, residents, PA's, & staff.
Monitor all fiscal operations for contracts between the department and various entities. Responsible for billing of services, reconciling quarterly budgets, and annual budgets & reporting these activities to the College of Medicine Assistant Dean for fiscal operations.
Gather all data needed for annual physicians' surveys such as:
The MGMA - Medical Group Management Association, AAARAD - Association of Administrators in Academic Radiology, UTS - University Tax Service, UWO - Uncollected Accounts by Write Off, Auxiliary service center survey, UBIT - Unrelated Business Tax and ITF - Incidental Trust Fund. Handle or supervise all invoicing and cash management.
