Job Description:

Daily operations support through fiscal processing, supply inventory and ordering, maintaining office filing systems, interacting with vendors and or service providers for space or service contracts, space maintenance, greeting/guiding visitors to the space, lecture room, and conference room calendar management. Will be the primary contact for the IIAIRI email and will respond to email inquiries on behalf of the Director’s office.

Assist in maintaining the Director’s calendar, ensuring efficient scheduling and daily updates to maximize time and productivity. Responsible for overseeing the IIAIRI website and social media presence. Includes but is not limited to running SEO optimization tests to ensure the website is performing well, building, and maintaining webpages to keep content engaging, and up to date. Assist in creating original content for IIAIRI's social media platforms, ensuring the content is engaging and reflects the department's mission. Will be responsible for monitoring social media metrics, running monthly performance reports, and identifying areas of growth to continuously improve digital outreach.

Assist in event coordination. Coordinate events as instructed by the Director’s Office including but not limited to college networking events, holiday reception, the Faculty/Staff/Student award ceremony, spring commencement, new faculty orientation, and other similar events.  Collaborate with appropriate staff to manage, plan, and staff various events, work with Marketing and Communications to create flyers, invitations, etc. send invitations, collect RSVPs, secure venue, obtain special approvals as needed to serve alcohol, coordinate catering, or if appropriate pick-up food, set up, and cleanup for events. Schedule, coordinate, and arrange a variety of conferences, meetings, seminars, and other events, including those that may require travel.  Coordinate ongoing college-level meetings.

Handle other special projects as needed by the IIAIRI Director.

Expected Salary:

Salary commensurate with experience and expertise.

Minimum Requirements:

Bachelor’s degree and five years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:

Experience with UF financial systems and PeopleSoft.
Strong knowledge of MS-Office, particularly Word, Excel, and Power Point.
Strong communication skills both written and oral.
Able to build strong working relationships with others.
