Job Description:

As the primary point of contact for UFHR’s Training and Organizational Development (T&OD) team, this position provides administrative support for training, educational, and leadership programs. Responsibilities include managing registration and attendance for learning events, coordinating logistics, and handling communications for training and leadership programs. Additionally, the role oversees department administrative tasks such as updating training resources, setting up training rooms, organizing refreshments or catering, and coordinating instructional materials. The role provides Tier 1 administrative support for the University of Florida’s Employee Education Program (EEP) and Higher Education Opportunity (HEO) Program.  

Success in this role requires a strong commitment to excellent customer service, excellent organizational skills, the ability to work collaboratively, accuracy, and comfort with technology. 

General customer service and office support (20%):  

  • Delivers excellent customer service by serving as the primary point of contact for departments across the university, addressing training-related inquiries, and providing support for T&OD services and the myTraining Learning Management System. Provides overall telephone coverage for T&OD.  
  • Key responsibilities include coordinating logistics for training programs, such as managing equipment, materials, room reservations, and refreshments, while ensuring smooth communication and execution of all T&OD programs. The role also involves maintaining the accuracy of room and training calendars, supporting office processes like handling legal requests, managing event logistics, and updating instruction guides to ensure efficient office operations. The role manages training supplies, including contacting vendors to restock both room and team supplies. 

Training and Leadership Development Support (50%): 

  • Supports various aspects of in-person and virtual training sessions, including sending class notifications via email (with Zoom links for virtual sessions), processing rosters by marking learners complete for ILT classes, webinars, and special events, and updating credits for online courses. Additional responsibilities include preparing training rooms, organizing and printing materials, and general logistical support for a large learning library of offerings.  
  • This role provides support for Leadership Programs, including reserving rooms, printing name tags and materials, organizing binders, coordinating supplies, and managing catering and food orders.  

Employee Education Programs Support (30%):   

  • Provides Tier 1 administrative support for the University of Florida’s Employee Education Program (EEP) and Higher Education Opportunity (HEO) Program. This role provides clear guidance on the program’s policies, eligibility requirements, and registration procedures, including assistance to EEP and HEO students and HEO TEAMS employees, as appropriate, throughout the application and eligibility processes. During peak times, the role will assist the program coordinator with processing tuition assistance for both HEO and EEP programs as needed.

Expected Salary:

$19.23 - $24.00 per hour

Minimum Requirements:

Bachelor’s degree or an equivalent combination of education and appropriate experience.

Preferred Qualifications:

The ideal candidate will possess strong computer skills, preferably with Microsoft products, and demonstrate effective communication abilities, including clear and concise delivery. A strong commitment to excellent customer service and the ability to engage with multiple individuals during high-volume periods are essential. The candidate should be a team player, sensitive to confidential information, and have experience with video conferencing software (e.g., Zoom).
