Job Description:
  • Compliance: Reviews and approves disposition requests from departments to ensure property dispositions follow University Directives and Procedures as a member of the Property Management Committee. Verifies accounting transactions are properly recorded in the ERP system, provides information on dispositions activities to the Property Management Committee and the Privacy Office. Oversees property records for all Federal, State and private corporate contracts and grants awarded to the University, this includes a review of the annual Property Self-Assessment required by FAR to ensure property records are complete, documentation is received, and transactions are timely recorded. Oversee title and registration records with the Florida Department of Motor Vehicles for University vehicles and boats.
  • Data Management: Manages acquisitions, equipment and lease transactions and departmental transfers of university owned and managed tangible personal property to ensure property records and accounting transactions in the property management system for the University of Florida are accurate and maintained properly. Oversees the review of purchase orders and vouchers for assets to verify correct account codes are used and documentation is provided, reconciles the contra asset and liability accounts in the general ledger to the property records, processes monthly depreciation on all capital assets. Reviews, processes and records capitalization and disposition of fixed assets based on information received from Construction Accounting on completed construction projects and from Planning, Design and Construction on the disposition and demolition of facilities.
  • Updates training materials and the department website.  Answers complex questions from departments on property procedures, advises on workflow and how to process transactions in myAssets, the software tool used by departments to manage and inventory property assigned to their Department ID. Works frequently with Finance & Accounting staff, campus partners and other stakeholders to translate operational issues and identify useful solutions.
  • Provides leadership for direct report(s), including effective performance management, identification of training needs and professional development plans.  Creates and innovative and continuous improvement focused environment by seeking out and encouraging ideas for process change.   Actively supports and contributes to the CFO Division commitment to diversity and inclusiveness.
  • Works with the Assistant Controller to manage and update myAssets and myUFL Asset Management ERP system.  This includes identifying and testing of system updates, identifying and trouble-shooting system errors, managing and communicating system updates or system interruptions. Oversees deposit reports for sold property and monthly sales tax information.  Provides year-end financial reports and notes on property and any associated debt for the Universities Annual Financial Report.  Assists in the preparation of audit responses on property transactions.
  • Performs a variety of special projects as assigned or as needed to support Payroll Services, Finance & Accounting, the CFO Division, or other stakeholders.  Compiles data, conducts research, performs analysis, and formulates recommendations.
Expected Salary:

$70,000-$80,000 commensurate with education and experience.

Minimum Requirements:

Bachelor's degree in an appropriate area and six years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:

This position must be proficient in Microsoft Office.
