Job Description:

The Academic Program Specialist III manages the M.S. in Artificial Intelligence in Biomedical and Health Sciences graduate program by providing student services, academic advising, and program coordination. Working independently under the direction of faculty and program leadership, the specialist identifies, implements and administers academic program policies, procedures, and activities that contribute to student success and program quality. This position contributes to the design and coordination of academic programs by managing and coordinating curriculum planning, course scheduling, and academic records management for the Gainesville and Jacksonville campuses.

The Academic Program Specialist III leads the development of program policies and procedures consistent with university guidelines, while providing accurate and timely information to students, parents, faculty, and staff. The position oversees administrative and operational tasks that ensure the effective delivery and sustainability of the program.

Student Services and Academic Advising

  • Provides academic advising and guidance to current and prospective students on degree requirements, course selection, and academic milestones.
  • Serves as a point of contact for student inquiries related to program requirements, admissions, financial aid, and graduation.
  • Assists students in understanding program policies and navigating enrollment, registration, and degree progression.
  • Maintains accurate student records and ensures compliance with university and graduate program documentation standards.
  • Manages the communication of program updates, deadlines, and procedures to students and faculty.
  • Independently resolves complex student issues and provides advanced guidance on program requirements and exceptions.
  • Serves as lead advisor for specialized student populations or program tracks; mentors junior staff in advising best practices.

Course Scheduling and Program Coordination

  • Independently manages course scheduling, registration coordination, and academic calendar management
    across the Gainesville and Jacksonville campuses.
  • Coordinates logistics for hybrid course delivery, including online and in-person sessions, design studios,
    and experiential learning components.
  • Coordinates with faculty and academic units to ensure course offerings align with program requirements
    and student needs.
  • Facilitates communication among students, faculty, and administration regarding schedules, room
    assignments, and academic activities.
  • Monitors enrollment and assists with or manages seat allocation to support resource utilization.
  • Leads multi-campus coordination efforts; develops scheduling protocols and systems improvements;
    serves as primary liaison with academic units and external partners.

Program Operations, Assessment & Continuous Improvement

  • Leads the development and implementation of program policies, procedures, and administrative processes to support efficient operations. Independently conducts program assessment and evaluation activities, including data collection, analysis, and report preparation.
  • Manages budget coordination and other administrative tasks as assigned, including processing purchases, managing program expenses, and handling fiscal transactions.
  • Leads program planning discussions and helps identify opportunities for improvement based on assessment data and student feedback.
  • Leads the preparation of curriculum materials and documentation for new or revised academic programs.
  • Develops assessment frameworks and evaluation metrics; leads accreditation and compliance efforts; provides strategic recommendations to program leadership.

Expected Salary:

$72,000 - $80,000; commensurate with education and experience

Minimum Requirements:

Master’s degree and three years of relevant experience; or an equivalent combination of education
and experience.

Preferred Qualifications:
  • Knowledge of UF academic systems, policies, and procedures for graduate programs.
  • Familiarity with UF course scheduling systems, registration processes, and academic calendar
    management.
  • Knowledge of university academic policies, curriculum approval processes, and degree planning best
    practices.
  • Experience providing academic support or advising to students in higher education settings.
  • Familiarity advising students in remote, hybrid, as well as in-person learning environments.
  • Demonstrated ability to manage multiple projects simultaneously, prioritize deadlines, and maintain
    accuracy in a fast-paced, high functioning, evolving environment.
  • Experience providing support to curriculum workflows, while ensuring compliance with university
    policies and state statutes to streamline course production and program delivery.
  • Experience utilizing systems such as PeopleSoft, Canvas, and Tableau.
  • Commitment to operational excellence, student-centered service, and expanding access to engaging
    academic experiences for learners in all settings.
