Job Description:

The Department of Urban and Regional Planning (Department afterward) at the College of Design, Construction, and Planning, University of Florida, is seeking a part-time Event Coordinator.

The Part-Time Event Coordinator will play a key role in planning, coordinating, and executing events for the department. This position requires a highly organized and proactive individual with strong communication and management skills. The coordinator will work independently to manage events, engage with alumni, and coordinate with the DCP Advancement Team, ensuring alignment with the university’s policies and goals. The role also requires a willingness to travel.

Key Responsibilities:

  • Event Coordination: Plan, organize, and execute a variety of departmental events, including conferences, meetings, and alumni gatherings. Ensure all events are well-coordinated, within budget, and meet the department’s objectives.
  • Strategic Planning: Develop and implement strategies to meet or exceed engagement targets and metrics.
  • Alumni Engagement: Work closely with the alumni relations team to engage alumni, fostering a strong connection between the department and its graduates. Coordinate alumni events and communications to enhance alumni involvement and support.
  • Budget Management: Develop and manage event budgets, ensuring compliance with university fiscal policies. Monitor expenses, prepare financial reports, and ensure cost-effective use of resources.
  • Policy Compliance: Understand and adhere to university policies and procedures related to event planning, alumni activities, and fiscal management. Ensure all activities are conducted in compliance with these policies.
  • Collaboration: Collaborate with faculty, staff, students, and external partners to ensure successful event planning and alumni activities. Serve as the primary point of contact for all event-related inquiries and logistics.
  • Travel: Travel as required to coordinate events and represent the department at external functions.
  • Reporting: Prepare and present regular reports on event outcomes and alumni engagement metrics. Use data to inform future strategies and initiatives.
Qualifications:
  • Education: Bachelor’s degree in Event Management, Communications, Marketing, Business, or a related field.
  • Experience: Minimum of 2-3 years of experience in event planning, fundraising, or a related role, preferably within an academic or non-profit environment.
  • Skills:
    • Strong communication skills, both written and verbal, with the ability to engage and influence a wide range of stakeholders.
    • Excellent organizational and management skills, with the ability to manage multiple events and initiatives simultaneously.
    • Ability to work independently, take initiative, and make decisions with minimal supervision.
    • Familiarity with university policies, fiscal management, and event planning processes.
    • Proficiency in using event management software and standard office software (e.g., Microsoft Office).

    • Demonstrated ability to meet deadlines and manage time effectively.
    • High level of professionalism, integrity, and ethical standards in all interactions.

Salary:

$23.00 -$28.00 per hour, commensurate on education and experience.

Work Hours:

  • This is a part-time position, requiring approximately 5-20 hours per week. Flexibility in scheduling is available, with some evening and weekend work required, as well as travel.
