Job Description:

The Department of Health Outcomes and Biomedical Informatics (HOBI) is seeking a motivated, detail oriented, and student focused professional to join our Education Office as Coordinator of Academic Affairs. This position plays a pivotal role in supporting seven graduate degree and certificate programs, working closely with the Assistant Director of Education to guide MS, PhD, and certificate students from recruitment through graduation.

Key Responsibilities

Student Recruitment & Admissions 

  • Serve as the first point of contact for prospective students, responding to inquiries and providing program information.
  • Coordinate recruitment activities, including virtual events, conference outreach, and targeted marketing campaigns.
  • Collaborate with the HOBI Communications Office to design and maintain recruitment materials, update program web pages, and ensure consistent brand identity across platforms.
  • Process applications and admissions for PhD, MS, and certificate programs using UF systems (Slate, SIS).

Student Support & Academic Progress 

  • Advise and monitor MS, PhD, and certificate students from admission through graduation, including plan‑of‑study guidance and milestone tracking.
  • Coordinate academic processes (degree certification, registration, petitions, and transfer‑of‑credit reviews).
  • Support annual PhD student evaluation processes.
  • Liaise with faculty and instructional designers to support online coursework and adjunct instructor needs.

Administrative & Committee Support 

  • Schedule and coordinate Education Office activities such as interviews, classroom reservations, exams, meetings, and seminars.
  • Participate in organizing departmental events, including orientations, award ceremonies, and student engagement activities.
  • Provide coordination for four education committees, including scheduling, agenda preparation, and minute‑taking.

Departmental Academic Support 

  • Support student services for admissions, registration, retention, and graduation processes.
  • Update supervisory committee details as needed.
  • Maintain accurate student records for all HOBI programs.
  • Assist with course scheduling and identification of instructional resources.

Work with the Assistant Director to build the educational community within HOBI, between undergraduate volunteers, graduate students, and post-doctoral fellows

Expected Salary:

$44,000 - $52,000

Required Qualifications:

Bachelor’s degree and relevant experience in higher education administration, student services, or academic program coordination; or an equivalent combination of education and experience.

 

Preferred Qualifications

  • 3 years experience in graduate student services, academic advising, or program coordination.
  • Proficiency with UF systems such as Slate and SIS.
  • Strong written and verbal communication skills, with the ability to interact effectively with a wide range of stakeholders.
  • Demonstrated organizational skills and the ability to manage multiple priorities in a fast‑paced environment.
  • Commitment to providing excellent customer service and fostering a supportive academic environment.
  • Prior experience working with interdisciplinary programs.
Preferred:
