Job Description:

Extension Program Reporting:

The Data Management Analyst I prepares NIFA reports, as well as state, regional, county and client satisfaction-specific reporting. This includes creating programmatically focused infographics and reports, gathering information from Extension Faculty who are directly involved in the work. Coordinates with the Management Analyst to schedule and facilitate progress report meetings. Works in close collaboration with the Content & Communication Manager to compile analyzed data and craft narratives showcasing the achievements and progress of Extension programs, ensuring alignment with the requirements of NIFA and County Partners, as well as organizational requirements and stakeholder expectations. Monitor usage of the Extension Workload and remind faculty of reporting periods. Request required items for reporting, including patents, licensing and expenditure data.

Collaboration and Coordination:

Coordinate and collaborate with the Extension Dean, Extension Program Leaders, IFAS Research, and FAMU representatives to support the development of an executive summary, merit review, and stakeholder description. The Data Management Analyst I also partners with all members of the A&BI team, demonstrating collegial and professional behavior (both verbal and non-verbal) to ensure that communications around programmatic updates are clear, aligned, and effectively support strategic communication goals.

Extension Reporting Documentation:

In close collaboration with the Systems Admin/Programmer III and other members of the A&BI team, the Data Management Analyst I is responsible for creating and maintaining documentation around Extension reporting.

Invoice Processing:

Incumbent will be responsible for creating, sending, following up and processing journal entries for the department’s FSEA account.

Incumbent performs all duties as required to meet unit goals and objectives, including special projects that arise from strategic priorities or emerging opportunities across the A&BI initiatives. This ensures continuity of operations and fosters a collaborative environment in line with the organization’s mission. 

Expected Salary:

$65,000 /annually commensurate with education and experience

Required Qualifications:

Bachelor’s degree in an appropriate area of specialization.

Preferred:

Master’s degree in an appropriate area of specialization.

Academic background and experience in a selected area of research or other applicable academic field, as evidenced by an advanced degree or equivalent combination of education and experience.

Experience working in a scientific research and/or extension environment.

Understanding of the role of Extension in a major research university.

Strong oral and written communication skills. Experience writing for both technical audiences and the public.

Excellent organizational skills and the ability to prioritize multiple projects, including meeting tight deadlines.

Strong ability to think creatively and independently on concepts requiring advanced analytical skills.

Strong interpersonal skills and ability to work with different groups to achieve results, as well as collaboratively with internal and external peers, managers, and teams.

Demonstrated attention to detail to ensure proper and consistent editorial formatting. Self-starter with the ability to work independently and deliver in a timely fashion.

SUPERVISION:

Received: Instruction is given as needed by the Management Analyst (immediate supervisor). In situations where the Management Analyst is unavailable due to personal leave, scheduling conflicts, or other commitments, Data Management Analyst I will maintain a dotted-line reporting relationship with the Administrative Specialist II to ensure uninterrupted support and minimize potential bottlenecks. This proactive arrangement not only sustains efficient communication but also reflects Extension’s mission to advance excellence through collaborative service and community support.

NORMAL WORK SCHEDULE:

Monday – Friday, 8 a.m. to 4:30 p.m. with occasional overtime and/or weekend work based on project needs.

COMMUNICATION:

The Data Management Analyst I is integral to Extension’s communication strategy, working closely with the Administrative Specialist II and other key personnel to craft program reports and related materials.

Efforts focus on clearly communicating the value and impact of Extension programs and ensuring that documentation aligns with strategic objectives and meets the reporting needs of NIFA and County Partners.

MONETARY RESPONSIBILITY:

This individual will be responsible to creating, sending, following-up and processing journal entries for the department’s FSEA account.
