The Development Assistant directly supports the Development Officers for the UF Health, Office of Advancement. Reporting to the Director of Development Strategy & Operations, this position provides all administrative support to the development officers and assists in the management of travel coordination, major prospect/donor management, and all aspects of the campaign. The incumbent requires superior administrative skills, attention to detail, and comprehension of the essential varied priorities of the development officers; involves extensive contact with staff, faculty, and donors.
About This Role:
Development Officer Support
- Provide assistance to Development Officers, including prospect cultivation, donor stewardship, and ensures that records are properly documented.
- Maintain and monitor appointments and calendar for Director and keeps the director abreast of daily, weekly, and monthly schedules. Assists with communication to prospects and donors.
- Process correspondence, funding requests, proposals and reports.
- Initiate correspondence as necessary to ensure the efficient and timely flow of information within the College of Medicine Alumni Affairs and Development Office.
- Arrange travel, secure necessary tickets and confirmations for both airline and automobile travel while ensuring compliance with all University of Florida, UF Health, and UFF regulations.
- Collaborate with development officers in the implementation of fundraising mailing appeals for various departments of the College of Medicine.
- Organize and maintain alphabetical and chronological files and records of correspondence, reports and other materials.
Administrative Support
- Provide liaison through telephone, meetings, and personal contact with other departments/divisions throughout the University of Florida and the public. This function requires not only an understanding of programs of the Office of Development and Alumni Affairs, College of Medicine, and the mission of advancement activities, but also excellent presentation and interpersonal skills.
- Assist with receptions and other events related to development outreach.
- Work closely with development staff on major fundraising initiatives.

The ideal candidate will possess:
- Bachelor’s degree and three years of relevant experience; or an equivalent combination of education and experience.
- Experience working with different university constituencies, knowledge of the University of Florida.
- Two or more years of office and administrative experience, ability to conduct business in a professional manner.
- Ability to manage time effectively, meet deadlines, demonstrate self-motivation, and collaborate successfully within a team environment.
- Strong attention to detail and a high degree of accuracy.
- Effective problem-solving skills and a commitment to providing exceptional customer service.
- Exceptional written and verbal communication skills, strong interpersonal abilities, and the capacity to communicate and engage effectively with a wide range of individuals are essential.
- A commitment to and support for workplace inclusion in all its forms; demonstrated success collaborating with stakeholders; strong project management skills; experience in a data-driven environment; excellent organizational abilities; and the capacity to lead, influence, and inspire others are essential.
- Proficient in the following areas: Windows operating systems, Microsoft Word, Excel, and Access, as well as internet browsers and email platforms. Familiarity with donor databases, contact management systems, and tracking systems is also highly preferred.
