Job Description:

This not a remote work position, and it is located on the University of Florida Main Campus in Gainesville, FL


Reviews and processes graduate transfer credits and master’s degree acknowledgement (MDA) requests. Consultation with Division of Enrollment Management is required throughout the process. Active review of appropriate coursework from UF and non-UF (domestic and international) institutions, including travel scholar, study abroad, and/or study exchange programs. Responsible for processing petitions related to transfer credits.

CONDITIONAL AND SPECIAL ADMISSIONS
Evaluates, processes, and makes decisions regarding graduate applications for applicants who do not meet the minimum requirements for graduate admissions at UF. This process requires working with SLATE and ability to evaluate all applications materials and issues, while communicating with academic units. Students requiring holds will be monitored during their first term of enrollment at UF. Consultation with both campus personnel and Office of Admissions required throughout this process and prior to admitting the student.
Tracks UF policies related to admissions and transfer of credits: for example, 10% conditional admissions

COMBINATION DEGREES
Reviews and processes applications for graduate students seeking to participate in a combination degree program, such as joint PROF/GRAD, and concurrent and/or nontraditional doctoral/master’s degree programs. Responsibilities include reviewing students that may be pursuing a combination degree to address requirements and adherence to university and SACSCOC guidelines. This position must also complete verification of appropriate approval levels, identification of academic program deficiencies, and resolution of issues. Works closely with graduate faculty, students, and administrative staff to resolve issues and disseminate procedural policies and protocols. Updates and/or corrects students’ degree program data in the appropriate university systems.

SERVICE TO GRADUATE ACADEMIC STAFF, COORDINATORS, AND FACULTY
Answers questions, resolves issues, and offers guidance or directs campus personnel to an appropriate office for assistance.
In collaboration with the ACT staff, develops and provides training for academic staff, Graduate Coordinators and faculty as related to Graduate School policies, processes, and systems required to support graduate student admissions and transfer processes.
Processes forms and reports relating to graduate student's academic program during and after conditional and special admission. Works with the UF Division of Enrollment Management, including the UF Office of Admissions, and other administrative units, faculty, and staff, on a regular basis to carry out policy consistent with the Graduate Catalog, Graduate Council, and University of Florida regulations.

MAINTENANCE OF GRADUATE STUDENT RECORDS
Maintain and review processes to track and manage student records. Responsible for ensuring all related programs and activities comply with university, state, and federal regulations. Complies with the Family Rights and Privacy Act of 1974 (FERPA) and makes recommendations to administrative procedures to improve the process for maintaining graduate student records.

SYSTEMS INTEGRATION AND AI INITIATIVES
Identifies and develops technical solutions to processes for the Graduate School. Provides guidance and support in the integration of new systems through the GIMS deprecation process. Identifies strategies for the integration of AI in processes for the Graduate School. Works closely with the Associate Deans on AI initiatives for Academic Affairs and Graduate Student Success.

Expected Salary:

Salary commensurate with experience and expertise.

Required Qualifications:

Master’s degree and three years of relevant experience; or an equivalent combination of education and experience.

Preferred:

Master’s degree in appropriate field. Excellent customer service, strong written and verbal communication skills. Knowledge of information systems, GIMS, People Soft, and other appropriate UF IT systems to reference multiple data sources to identify problems and resolve discrepancies. Ability to communicate professionally in multiple channels and a commitment to completing team missions via individual and group efforts. Knowledge of the graduate degree programs and policies for masters, engineer, specialist, and doctoral programs.

Experience with systems integration in graduate education. Familiarity with artificial intelligence and redesign of systems to work with new technologies. Comfortable with leading change initiatives.
