Job Description:

The Strategic Initiatives Coordinator will play a crucial role in supporting and advancing the goals of the Office of Estate & Gift Planning. Reporting to the Executive Director of Advancement, this position focuses on project management and improving operational efficiency. Core responsibilities include supporting the administration of realized estate gifts, managing large-scale data, refining the donor prospect referral process, managing cross-functional initiatives, and coordinating projects for the UF Legacy Society, and managing the UF Advisor Network. Additionally, the role involves close collaboration between the Office of Estate & Gift Planning and UF Foundation attorneys. The ideal candidate will possess strong analytical skills, keen attention to detail, and the capacity to work collaboratively with various stakeholders.

Strategic Initiatives

  • Gift Planning Data Projects:
    • Conduct in-depth analysis and interpretation of planned giving trends to inform strategic decisions.
    • Manage and organize large datasets related to planned giving, using data tools and platforms to identify patterns and actionable insights.
    • Collaborate with Business Intelligence and Prospect Management & Research Analysis (PMRA) teams to develop reports and presentations for senior leadership.
    • Contribute to the development of dashboards, metrics, and tracking systems that enhance the understanding of donor behavior and gift planning performance.
  • Management of Collaborative Initiatives:
    • Serve as a project liaison between the Office of Estate & Gift Planning and other UF Advancement departments. Annual Giving, Principal Gifts, Alumni Relations, and other potential partners.
    • Coordinate schedules, gather input from stakeholders, and drive timelines to ensure projects are completed efficiently and effectively.
    • Lead or co-lead cross-functional initiatives in which Gift Planning plays a strategic role, ensuring alignment with EGP’s mission and strategic goals.
  • Legal/Foundation Attorney Collaboration:
    • Assist with fund modifications, including researching fund histories, reviewing donor documentation, analyzing fund balances, and compiling giving reports.
    • Partner with Foundation attorneys and EGP leadership on complex projects, including real estate, property purchases, and leases involving UF or third-party entities.
    • Support the review and execution of life income gifts and other sophisticated giving vehicles by managing timelines, documentation, and interdepartmental communications. 
    • Maintain organized records and track progress on all legal and collaborative projects.
    • Provide research support for specialized legal inquiries, including policy development on non-traditional gifts (e.g., vehicle donations, real estate policies).

Estate Gifts & Referrals

  • Administration of Realized Estate Gifts:
    • Provide operational and project support to the Senior Legal Counsel in managing the acceptance and execution of realized estate gifts.
    • Communicate with legal and financial advisors to ensure compliance with estate plans and donor intentions.
    • Assist in reconciling estate gift documentation, tracking disbursements, and maintaining accurate donor records within the database of record.
  • Referral Process Management:
    • Oversee and refine the Gift Planning referral process to ensure smooth handoffs between frontline fundraisers and the EGP team.
    • Work with the Administrative Assistant II to track referrals, monitor return on investment (ROI), and generate monthly and quarterly performance reports.
    • Identify process improvements and create documentation or training materials to enhance the effectiveness of the referral pipeline.

Strategic Programs

  • UF Legacy Society:
    • Partner with Gift Planning Associate to steward members of the UF Legacy Society – donors who have documented planned gifts
    • Plan and execute engagement strategies, including personalized outreach, stewardship reports, and door recognition events.
  • UF Advisor Network
    • Work with the Senior Director and EGP team to manage the UF Advisor Network – a professional association of advisors who serve as partners and advocates for planned giving.
    • Coordinate outreach, event planning, and communications to strengthen relationships with estate planning attorneys, financial advisors, and CPAs.
    • Support the execution of the annual Gator Gathering event, including speaker coordination, logistics, invitations, and post-event follow-up.
Expected Salary:

$48,000 - $52,000; commensurate with education and experience.

Required Qualifications:

Bachelor’s degree in an appropriate area of specialization; or an equivalent combination of education and experience.        

Preferred:

The ideal candidate will possess:

  • Experience working with development, fundraising, alumni relations or higher education.
  • Flexibility and the ability to work well with all levels of internal staff, as well as outside donors and volunteers.
  • Excellent organizational skills; demonstrated skill to work on projects with competing deadlines and to establish goals and workload priorities.
  • Experience writing reports, correspondence and other documents.
  • The ability to work efficiently with minimum supervision, to exercise independent judgment and personal initiative, and accept responsibility for decisions and actions.
  • Skills to work cooperatively as part of a team.
  • Exceptional written and verbal communication skills, strong interpersonal abilities, and the capacity to engage effectively and collaboratively with a wide range of individuals are essential.
  • A commitment to and support for workplace inclusion in all its forms; demonstrated success collaborating with stakeholders; strong project management skills; experience in a data-driven environment; and the capacity to lead, influence, and inspire others are essential.
  • Proficient in the following areas: Windows operating systems, Microsoft Word, Excel, and Access, as well as internet browsers and email platforms. Familiarity with donor databases, contact management systems, and tracking systems is also highly preferred.
