Serves as a team leader for payroll team. Responsible for the Facilities Services payroll functions for the division and its 100 plus Operating Units. Ensures the timely and accurate processing of transactions used for payroll. This includes but is not limited to the processing, reconciling, and approving time worked, leave time, and special payments for approximately 850 employees. Manages the FS Payroll Office. Hires, trains, supervises, and evaluates all personnel within the payroll office. Compiles information for electronic interfaces. Compiles data and prepares the format for various reports and statistical studies as requested by management. Prepares supplemental time certifications, emergency check requests, demographic updates, balance adjustments and other various forms. Reconciles hours worked for overtime purposes when leave has been used. Calculates pay data such as on call, asbestos and campus weather emergency work. Prepares and ensures accurate and timely data transfers from KRONOS to MyUFL and vice versa according to the payroll schedule.
Maintains Kronos setups (Manager groups, Lookup Tables), adds new pay codes, manager groups (labor set), resolves Kronos import errors. Responsible for training supervisors in the Kronos system and maintaining guides for Kronos training. Performs monthly payroll reconciliation between Kronos and MyUFL. Responsible for updating manager groups in AIM and reconciling them with Kronos labor sets.
Advises and assists the Director of Finance, in planning, directing, and reporting payroll activities for the Facilities Services and in the administration and interpretation of payroll laws, rules, policies and procedures. Communicates and manages compliance with policy and procedures within FS.
Responsible for interfacing and training FS Units regarding time and labor policy and procedures. Maintains an environment for excellent customer service. Works effectively with supervisors to resolve discrepancies and reduce errors.
Responsible for recommending and implementing efficient and effective process improvements for both the FS payroll department and the FS Units that interface with the department. Responsible for system improvements that affect time and labor and serves on committees to develop new standards, processes, and procedures. Represents FS on committees related to time and labor.
Work hours: Monday through Friday 8 am to 5 pm. Some overtime may be required
