FINANCIAL
- Formulates and executes the Institute’s budget within the structure of the COM.
- Ensures revenue and expense targets are realistic, achievable, and supports the strategic plan and Institute’s mission.
- Interprets data and makes adjustments in departmental performance based on data.
- Maintains financial records.
- Maintains readiness for audits and other reporting needs.
- Appraises and reports to the Institute Director and Medical Director on a continuing basis the financial effectiveness of all Institute operations by review and analysis of income, consumption of resources, contributions to the mission, and developing trends.
- Directs the preparation of statistics for periodic and annual financial reports, creates charts and graphs showing progress, conditions, and results.
- Monitors the healthcare environment in real time, interprets pertinent data and keeps the Institute’s directors informed of changes and opportunities.
- Develops and communicates appropriate possible responses to changes in the market.
- Forecasts changes in financial indicators in health care and applies data to the Institute’s financial plan.
- Independently develops and implements business plans for specific opportunities.
- Seeks opportunities to develop new approaches to the work of the Institute.
PERSONNEL (HR)
- Supervises all business and administrative functions of the Institute’s infrastructure.
- Develops and maintains systems for effectively managing and reporting for all resources including space, staff effort, parking, transportation, facilities management, asset management, etc.
- Coordinates special projects as directed.
- Independently manages all non-faculty administrative personnel positions, including hiring and firing, evaluation, compensation, and human resources concerns.
- Works toward a positive work environment for all personnel.
COMPLIANCE
- Interprets applicable laws, rules, and other guidance from the University, College of Medicine, federal, state, government agencies, third-party payers, private foundations, and companies that provide resources to support the Institute’s teaching, research, and patient services activities.
- Formulates policies and procedures in response to such guidance for the Director’s review and approval and supervises the utilization of resources provided.
Participates in research compliance activities related to the IRB, RRC, NIH, and other agency or institutional partners.
DEVELOPMENT & FUNDRAISING
- Actively participates in donor development, working collaboratively with the UF Foundation and other donor-related entities.
- Participates in the development of other potential representatives of the Institute in fund-raising endeavors.
- Coordinate travel and itineraries for distinguished visitors and prospective donors to the Institute.
- Facilitates third party fundraisers for the benefit of the Institute.
- Create an online development program in conjunction with the UF Foundation to raise funds for diabetes research via the UF Diabetes Institute website. Liaison to the UF College of Medicine Development Office.
Organize events and PR campaigns to increase the visibility of the DI in the community and State and facilitate parlaying these into fundraising.
EXTERNAL FUNCTIONS - Outreach and Communications
- UF’s clinical and basic science research projects are international in scope, and a strong web-based communications strategy is central to the Institute’s success. This position will oversee a social media intern under the UFDI direction.
- Oversees all Institute public relations efforts, working in real-time and effectively with partners in the community, UF Colleges, UF Health Physicians, IFAS, and UF Health Shands Hospital.
- Works with clinical staff and providers to ensure that outreach events are accessible to interested patients and caregivers.
- Liaison for student groups at the University of Florida interested in supporting the Institute.
- Maintains and encourages partnerships with all pertinent partners, including, but not limited to, UF Health Shands, departments, UF Colleges, VAMC, CVM, UF Health Physicians, vendors, etc.
- Oversees Institute celebrations and events at the direction of the Director.
- Primary coordinator for Diabetes Awareness Month, Annual Research Tour, and Speaker Series, including scheduling speakers, reserving facilities, soliciting sponsorships, and publicizing events.
- The UFDI Assistant Director will work with the COM Office of Research to coordinate research-related events and activities, including participation in research opportunity seed fund proposals across colleges, Celebration of Research events, and seminar series.
- Primary responsibility for the UF Diabetes Institute website and content management, and weekly email newsletter in compliance with UF Health web standards.
- Develops materials, including fliers, brochures, and other materials, to support the Institute’s outreach efforts.
