Job Description:
  • Proposal Preparation and Submission
    • Prepares and submits timely and compliant proposals to a variety of agencies and sponsors.  Coordinates with the PI and team to prepare budgets and assist with document preparation for a variety of grant proposals and internal research initiatives. Responsibilities include:
    • Advising PIs on correct formatting of proposal documents, and sending a checklist of required documents, such as Abstract, Project Narrative, budget justification, biographical sketches, current & pending…etc. in accordance with the funding announcement guidelines.
    • Creating proposal record within the UF Integrated Research Support Tool (UFIRST) proposal module and route for approval in accordance with institutional policy.
    • Reviewing all components for successful proposal submission, with particular focus on the budget and budget narrative.  Inspecting proposal guidelines for indirect cost (IDC) limitations and cost share requirements.  Ensuring that no unnecessary commitment of university resources is included in any section of proposal.
    • Coordinating proposal submission with relevant internal and external stakeholders, including PIs and other key personnel, other research administrators, department chairs/directors and sponsored research offices
  • Agreement Support
    • Coordinates with research administration team and core office to upload and submit documents related to all activities that route to DSP through the UFIRST Agreements module. Track the agreement in UFIRST to ensure consistent communication and progress on agreement negotiations.
  • Post Award Management
    • Coordinate with senior research administrators in the comprehensive management of sponsored projects. Process new awards in UFIRST award module, send payroll distribution requests to the department specialist, Join regular meetings with faculty to review award and funding portfolios, provide financial management and projections, and offer analysis and advice on award management. Coordinates the review of financial transactions; expense monitoring for appropriateness, allowability, and compliance with grant terms and conditions, Uniform Guidance, and University policies. Support and approve purchasing activity as needed. Assist in processing modifications in UFIRST award module for re-budgeting, renewals, no-cost time extensions and/or close-outs.
  • Reporting and Training Support
    • Maintain an up-to-date training record and be willing to participate in training – as a trainer and trainee - with other administrators in the college and across campus. Assist with data collection and reporting as needed.
  • Other Duties as assigned.
Expected Salary:

$23.45 - $26.28 / hour

Minimum Requirements:

Bachelor's degree; or an equivalent combination of education and experience.

Preferred Qualifications:

Qualifications include the ability to be flexible in work assignments; to meet deadlines; to multitask efficiently; independent problem solving and analytical skills; demonstrated ability to balance a high level of attention to detail while supporting research intensive faculty; ability to work effectively in a collaborative, customer-service oriented and collegial team environment as well as independently.

Ability to communicate well both verbally and in writing with faculty, staff and various sponsors.

Ability to act as liaison and use communication skills with professionals at UF core offices.

Ability to evaluate and give technical assistance in the preparation and submission of proposals and to evaluate data relative to proposal submission.

Knowledge of and accountable for all current rules, regulations, policies and procedures relating to the funding sponsors, the State of Florida and the University of Florida.

Ability to understand and utilize problem solving techniques.
Ability to establish and maintain effective working relationships with others. Professional code of conduct becoming of a public employee.

Ability to work independently without supervision and use good judgment to set priorities.

Proficiency in all office applications necessary for efficient execution of duties. This includes at a minimum, PeopleSoft, Adobe applications, email clients, and Microsoft suite of applications like Excel, Word, and PowerPoint.
