Job Description:

This is a state-funded position. The position is located in the college of Education’s School of Special Education, School Psychology, and Early Childhood Studies (SESPECS).  This position has both academic and fiscal responsibilities.

Academic

  • Manage graduate applications via SLATE and enter graduate student information into department and college database.  Complete graduate forms (change of admission date, application for readmission, change of degree, transfer of credits, supervisory committee, special appointments to student’s committee, and admission to candidacy, etc).  Assist with reports to department, college and graduate school as requested. Update and enter any course/schedule changes into department/college databases.  Inputs course evaluations.

Fiscal

  • Serves as department contact to vendors.  Initiates requisitions & tracks purchases through the People Soft system until items are received and paid.  P-card holder; tracks and reconciles purchases through People Soft system.  Responsible for travel authorizations and expense reports for all SESPECS faculty & students traveling on state or other departmental or college issued funds when requested.  Responsible for monitoring, posting and reconciling all OE transactions paid from state and other department funds.  Provides fiscal assistance to UF Literacy Institute; tracking their 179 funds under department 1808 to include purchasing, processing & balancing.  Ensures all expenditures are in compliance with university guidelines.

Administrative

  • Completes departmental reports for credit hours and evaluations. Tracks & assists faculty with annual reports.  Assists with and oversees the School Psychology interview schedules.  Assists with faculty searches and tenure and promotion.  Oversees text adoptions, final grades, and grade changes.   Provides back-up to and supports office manager and school director with strategic planning.  Provides supervision to student assistants. Responsible for answering phones and greeting and assisting visitors.  Will assist faculty with special work requests as needed.

Minimum Requirements:

High school diploma or equivalent and four years of relevant experience.
