The Opportunity
The position provides administrative and fiscal support for the Office of Professional and Workforce Development (OPWD) at the Training, Research and Education for Environmental Occupations (TREEO) Center. Reporting to the OPWD Administrative Specialist II, this position supports staff, students, and the event planning team, contributing to the success of educational programs and events. A high level of organization, professionalism, initiative, and strong communication skills are essential, along with a commitment to delivering exceptional service to both internal stakeholders and external clients.

Event and Program Support:

Provides registration and program support to the event planning team and workforce program coordinators by responding to client and attendee inquiries via phone and email.

Develops and prepares event and course materials, including agendas, name tags, signage, attendee packets, sign-in sheets, and certificates.

Coordinates delivery of course materials for in-house and off-site programs and events.

Informs students of course and technical requirements and assist with troubleshooting in the Learning Management and Registration Systems.

Accesses internal databases to verify student records, generate transcripts, and assign certificate numbers.

Fiscal and Administrative Processing:

Processes purchase orders and invoices

Creates travel authorizations and process expense reports for staff, speakers, and event participants.

Maintains accurate logs and documentation for fiscal records and compliance.

Reviews and processes event closeouts, ensuring revenue and expenses are accurately documented in the final budget.

Facility Support:

Submits work orders for the building and grounds

Monitors the status of all building maintenance projects and follows up as needed

Orders and manages inventory of office and canteen supplies.

Supports classroom and facility setup for on-site courses and events.

Provides back up for departmental asset management records and space allocation reporting
