Job Description:

The Residency Program Coordinator II is responsible for the management and administration of ACGME- and non-ACGME-accredited training programs within the Department of Obstetrics and Gynecology. The incumbent coordinates the resident match/recruitment process, handles all resident personnel transactions, including onboarding, credentialing and termination, collects data/information in accordance with ACGME/RC requirements, participates in the GME strategic planning process, and oversees the accreditation process for all Gainesville programs, including residency and fellowship programs. Additionally, the incumbent serves as the primary contact for ACGME/RC policy interpretation and implementation for both the Gainesville and Pensacola programs. This position requires a thorough knowledge of ACGME/RC accreditation standards.

Residency Program Administration – In conjunction with the program leaders, plans all resident activities, including the orientation program for new residents, the annual Resident Research Day symposium, the Chief Residents’ graduation dinner, annual Resident Retreat, ACOG Wellness Week, and other special events/educational programs.  Ensures timely completion of the graduate medical education annual survey. Facilitates Program Evaluation Committee and Clinical Competency Committee meetings.  Enters resident Milestones assessments into the ACGME database.  Prepares and distributes resident training/rotation schedules.  Provides information for reports required by the Dean’s Office, Office of Housestaff Affairs, and Chief of Staff’s office, including daily effort reports, block schedules and duty hour templates within the New Innovations system.  Proctors the annual in-service training examination.  Maintains resident leave records.  Coordinates the evaluation process for all residents as they complete each rotation and annual resident evaluation of the education program and faculty. Creates and monitors residency program budget. Works with department account on effectively tracking and auditing resident expenditures. Serves as the lead contact for policy interpretation and implementation for both the Gainesville and Pensacola based programs. Ensure continued compliance for the residency and fellowship with ACGME requirements. Create the ACGME Annual Report as required by the ACGME and AAMC GME Census Track for the residency and for the fellowship. Prepare for ACGME site visits, including scheduled and urgent visits, both external and internal. Assist in initial application procedures for any subspecialty fellowships in the Department of OBGYN.

Resident Recruitment – Administers the application and interview process for the Gainesville-based
ObGyn residency program, including processing all applications for residency training through the Electronic Residency Application Service, distributing applications and developing summary sheets for applicants meeting general admission requirements.  Creates the interview schedule an schedules dates with faculty. Serves as the primary contact throughout the process for both faculty and applicants.  Communicates essential logistical information to applicants and responds to questions.  Compiles interview results.  Facilitates the selection committee meetings, records residency selection committee results and prepares the final rank list for submission to the National Residency and Intern Match Program Office

Resident Administrative Support – Manages and oversees ObGyn residents, including typing correspondence, processing travel requests and reimbursements, coordinating applications for written board examinations and for state medical licensing, monitoring residents’ surgical case entries into the
ACGME OpLog System, and preparing the monthly on-call schedule.  Oversees distribution of on-call meal funds through the Gator Bites program.  Coordinates completion of credentialing paperwork for graduating and former residents.

Program Expansion, Enhancement and Strategic Planning - Collaborate with division chiefs/program leaders and supporting faculty on establishing additional fellowship programs within the department. Work with these leaders on developing and presenting long-term strategies to ensure the viability, growth, and enhancement of programs. Work with the Residency Program Director to identify, develop, and implement policies and procedures to comply with residency and accreditation guidelines. Formulate qualitative analyses to assess program effectiveness and work with program director(s) on improvement initiatives based on findings.

Project Management – Participate in special projects assigned by Residency Program Director and departmental manager or director as it aligns with the scope of the position. Examples of projects include resident education website management, working with marketing on creating and maintaining promotional materials, and coordinating events such as the alumni weekend.

Fellowship Program Oversight – Oversees progress and development of fellowship programs within
the department. With fellowship program expansion, will provide training and mentorship to the Fellowship Coordinators. 

Policy Creation, Interpretation, and Implementation  – Serves on the national council for the Association of Program Managers in Obstetrics and Gynecology. Serves as the lead contact for policy interpretation and implementation for both the Gainesville and Pensacola based GME programs, including residency and fellowship programs.  Participates in policy creation(s) for program as needed. Provides policy training sessions as required.  Attends and presents at CREOG/APGO Annual Meetings, ACGME training sessions, and residency/fellowship coordinator meetings to stay abreast of current standards and requirements.  Plans GME strategic initiatives in conjunction with the program director.

Expected Salary:

$55,000.00 - $61,000.00 - Commensurate with education and experience

Required Qualifications: Bachelor’s degree and three years of experience coordinating educational programs, accredited residency and/or fellowship programs; or an equivalent combination of education and relevant experience.
Preferred:

Prior GME experience with thorough understanding of ACGME rules and regulations;  Superior customer service;
Excellent organizational skills;
Excellent written and verbal communication skills;
Attention to detail;
Ability to work independently with minimal supervision;
Excellent skills with word processing and graphics computer programs;
Mastery of the windows operation system used for maintenance of the database for resident surgical statistics
