Job Description:

The Division of Enrollment Management is seeking a part-time OPS HR Assistant to join the Human Resources team (EMHR). In this role, you will be responsible for providing administrative support by assisting with HR functions, maintaining accurate and up-to-date digital and physical records, responding to inquiries, and supporting general EMHR office operations. The ideal candidate will be detail-oriented and organized, possess excellent communication skills, and demonstrate an ability to maintain accurate, confidential records in a dynamic and fast-paced environment.

Key responsibilities include:

Administrative Support

  • Schedule and coordinate regularly occurring meetings, including EMHR team meetings and individual staff meetings.
  • Assist the HR Generalist with onboarding new employees, including requesting GatorOne ID cards and necessary security access, and assisting with orientation activities, ensuring a smooth and welcoming experience for new employees.
  • Support the maintenance and accuracy of HR records and documents, ensuring compliance with policies and regulations.
  • Respond to general inquiries, including replying to emails and CRM cases.
  • Draft and distribute routine and ad hoc documents, including correspondence, spreadsheets, and reports.

Office Operations

  • Maintain and organize EMHR office supplies inventory, working closely with EM Finance to request and document approved purchases.
  • Assist in planning and coordinating team events, as well as division-wide events as needed.
  • Under the guidance of the HR Generalist, provide information to staff and student assistants related to UF and EM policies or other general HR-related information.
  • Working closely with the HR Generalist, regularly review EMHR guidelines and documentation for necessary edits or updates.

Other Duties

  • Participate in recruiting efforts and other initiatives.
  • Enter and update information into various systems, including myUFL and UFGO.
  • Research and analyze price quotes for various goods and services as needed.
  • Perform other duties as assigned.
Expected Salary:

$16/hour

Minimum Requirements:
  • Must be available to work 20-30 hours per week
  • Must be available to work through the Summer 2025 semester or longer
Preferred Qualifications:
  • One-year administrative experience preferred
  • Demonstrated ability to be reliable and proactive
  • Demonstrated ability to maintain confidentiality and handle sensitive information
  • Excellent communication and interpersonal skills
  • Strong organizational and time management skills
  • Strong attention to detail
  • Ability to work in a fast-paced environment and prioritize multiple tasks
  • Proficient in Microsoft Office Suite
