University Registrar Services Assistant II
This position is part of Operations Support Services for the Division of Enrollment Management, which includes the Office of the Vice President, Office of Admissions, Office of the University Registrar, and Office for Student Financial Affairs. The primary responsibilities of this position includes the following: prepare and scan all incoming admissions application documents, assists with coordinating student record maintenance, retention and disposal, assists with coordinating student transcript production and distribution, process all incoming and outgoing mail, assist with facility, asset and logistical support requests, and provide customer service to students, faculty and staff.
Assists with all daily functions in the document processing area of Operations Support Services for the Division of Enrollment Management. Coordinates student record maintenance and assists with coordinating the record disposal process. Serves as an expert on student record retrieval and record retention for the division. Compiles statistical information regarding records to facilitate the review and establishment of appropriate and effective record keeping methodologies.
Assists with coordinating the division-wide processing and distribution of incoming and outgoing documents. Coordinates student transcript production and distribution. Manages the initial processing and electronic imaging of Registrar, Financial Aid and Admissions documents into the student information system.
Supervises and evaluates Federal Work-Study student employees and Other Personnel Services employees in the document processing area. Assists with coordinating an extensive training program on record management for student employees.
Provides informational service in person, by telephone or email to students, the university community, and the general public by evaluating and responding to inquiries concerning academic records and university policy.
Continually reviews internal procedures, systems and record keeping methods with intent to streamline and improve. Develops, recommends and implements approved new procedures. Assist the Associate Director with special projects. Researches and analyzes information to assist with special projects. Cross-trained to assist in other areas of the office.
$14.20 hourly; commensurate with education and experience.
High school diploma or equivalent and four years of relevant experience. Appropriate college course work or vocational/technical training may substitute at an equivalent rate for the required experience.
- Knowledge of effective written and oral communication; ability to articulate and interpret information.
- Ability to comprehend and interpret university and registrar policies, procedures and academic regulations.
- Ability to establish and maintain professional and effective working relations with others; ability to supervise.
- Ability to establish work priorities and coordinate the timely completion of work assignments; strong organizational skills.
- Ability to work independently, exercise good judgment, and work with minimal supervision.
- Extensive experience using Microsoft Office.
