The Office of Graduate Education (OGE) at the University of Florida College of Medicine is seeking an Assistant Director of Administrative Services. This position plays a key leadership role in supporting strategic initiatives, overseeing administrative staff, and managing the operations of the Graduate Program in Biomedical Sciences. Reporting to the Director of Graduate Education, this position requires strong organizational, communication, and leadership skills to ensure efficient operations, foster collaboration, and maintain a positive office environment.
About This Role
Academic Program Management of Graduate Program in Biomedical Sciences (BMS)
- Coordinate and oversee tasks associated with BMS recruitment, admissions, student onboarding, curriculum, student progress, matriculation, and alumni relations.
- Develop and oversee the implementation of BMS program specific policies, procedures and best practices
- Develop and manage timelines for BMS program development.
- Coordinate reports for UF, SACS, and LCME accreditation. Ensuring files are organized for accreditation site visits and self-studies.
Program Enhancement and Leadership
- Collaborate with the Director of Office of Graduate Education, Assistant Dean for Biomedical Sciences, Associate Dean for Graduate Programs, as well as other stakeholders to develop and implement strategic initiatives to advance the goals and objectives of the Office of Graduate Education and Graduate Program of Biomedical Sciences.
- Provide a professional and supportive presence at college and program events, such as commencement and recruitment, to represent the college and graduate programs.
Fiscal and HR Collaboration
- Oversee fiscal and HR operations for the Office of Graduate Education.
- Act as a liaison between the Office of Graduate Education and Office of Student Financial Aid and Scholarships to assist students with questions on student financial aid support.
- Prepare the monthly and yearly Center for Biomedical Science Research and Training (CBMSRT) indirect cost returns (IDC) expenditure report and breakdown for the Assistant Dean for Biomedical Sciences and Director of Graduate Education.

Preferred Qualifications: |
- Two years of UF or higher-education experience processing large scale admissions application, registrations, and degree certification.
- Extensive experience working with prospective students, applicants and current students.
- Experience with Salesforce and Slate.
- Knowledge of UF admissions, graduate school, program policies and procedures.
- Supervisory experience. Able to manage, delegate, build relationships and problem solve employee related issues.
- Excellent written and verbal communication skills.
- Able to problem solve and make appropriate judgement calls with minimal supervision.
- Able to work under deadlines and manage multiple concurrent deadlines.
- Able to work independently with minimal supervision.
- Able to build and maintain positive relationships with students, faculty, staff and various other stakeholders.
- Able to maintain strictest level of confidence regarding academic matters and comply with FERPA, State of Florida, and University rules regarding disclosure of academic information.
